Under the direct supervision of the Co-Executive Director of Fundraising and Development, the Grant Writer/Development Coordinator will be responsible for managing the grant proposal process from start to finish, including research, identifying external grants, and funding opportunities. The Grant Writer will be collaborating closely with the Co-Executive Director’s, the Board Chair, and program staff to identify, solicit, and steward gifts in support of Wisconsin Voices’ mission. This includes, but is not limited to, assisting in the annual appeal, major gift solicitation, writing grants, strategic planning, and planning events

Grant Writing: (65%)

  • Initiates ongoing communication with key staff to analyze funding needs, gaps, and opportunities.

  • Develop well-researched, tailored, and high-impact proposals, letters of inquiry, reports, acknowledgement letters, and other grant related deliverables (assembling and submitting grant requests, including letters, proposals, budgets, and PowerPoints) persuasively communicating Wisconsin Voices’ mission and programs to potential funders, in partnership with the Co-Executive Director of Fundraising & Development.

  • Establishing and maintaining personal contact and relationships with foundation contacts and program officers.

  • Maintaining calendar to ensure timely submission of letters of inquiry, proposal deadlines, and reports.

  • Monitor grants scope of work and compliance.

  • Identifying grant funding opportunities

  • Maintaining proficient knowledge of organization’s history and programs

  • Collaborating with Co-Executive Director of Fundraising & Development and Data Manager to provide information for the annual report.

  • Maintains primary files on potential funders, current funders, and grant opportunities.

  • Attends meetings, conferences, workshops, and other duties as assigned.

Fund Development (35%)

  • Works with the Co-Executive Director of Fundraising and Development and Sr. Fund Development Manager to create solicitation and year-round engagement strategy and materials to retain current and attract new individual and corporate donors, increasing revenue and overall engagement.

  • Research and identify new donor prospects.

  • Prioritizes donor engagement through Zoom, in-person meetings, phone calls, emails, written thank you letters and other methods.

  • Achieve annual fundraising goals including donor participation rates (number and level of donations), individual giving, and corporate/foundations.

  • Cultivate and develop individual and corporate donor relationships.

  • Work in partnership with the Communications Director to develop a strategy for use of social media/website online giving for individual giving appeals.

  • Research and communicate emerging trends and best practices in donor engagement and stewardship to the Co-Executive Director of Fundraising and Development.

  • Produce timely mailing lists for invitations, newsletters and direct mail, pledge reminders, acknowledgement letters, and donor invoices.

  • Reconcile pledges and revenue with all event invoices with the Financial and Regrants Manager.

  • Major Gift/Donor Support–Produce major donor, board, and special category solicitations/support materials with the intent to retain or upgrade gifts when possible. Works with program staff to develop grant reports and funding related projects.

  • Cultivates donors by producing specialized correspondences, producing specialized letter of acknowledgment, scheduling, and attending in-person visits. Organizes individual donor campaigns (e.g., major donors, direct mail, and matching gifts).
