FLSA Status: Exempt

Salary: $68,640 - $74,880

Summary:

Camp Ronald McDonald for Good Times, located a few miles from Idyllwild, California, is a Ronald McDonald House Charities® of Southern California (a.k.a. RMHCSC) program. Camp Ronald McDonald for Good Times is seeking a highly motivated, organized, detail-oriented team player with a positive attitude for the Operations Manager, Program position. The Operations Manager, Program position is responsible for the recruitment and integration of volunteers for Camp; coordinates and facilitates recruitment, training, scheduling, retention, and recognition of volunteers for Camp Programs and Campsite; and is the first personal point of contact for people who wish to volunteer. The position hosts user groups on-site, providing orientation, support, and coordination during their stay. The position provides ongoing support to the Camp Director and Program Director in the development and execution of camp programming that meets the goals and outcomes of Camp.

To achieve its vision of creating a community where children and their families embrace life and healing with a sense of hope, enthusiasm, and joy. RMHCSC also operates seven Ronald McDonald Houses and three Ronald McDonald Family Rooms.

Responsibilities

Essential Duties and Responsibilities

Volunteer Recruitment and Support:

Volunteer Recruitment:

  • Manage the recruitment and scheduling of volunteers to ensure a full complement for each session or site event.
  • Work with Facilities Operations Manager to identify volunteer needs for work weekends and site needs and oversee volunteer recruitment.

New Volunteer Hiring:

  • Manage all aspects of scheduling new volunteers for interviews: responding to volunteer application submissions, initial point of contact, scheduling interview dates, and providing applicants with all necessary paperwork.
  • Work with the Camp Director and Program Director to lead volunteer interviews.
  • Direct the volunteer selection process including references, proof of immunizations, and background checks (LiveScan and NSOP website).
  • Ensure all new volunteers are prepared for their camp session – paperwork, contact info, and travel arrangements in place.

Volunteer Support:

  • Work closely with the Camp Director to identify the number of volunteers needed for each Camp session and then schedule as appropriate.
  • Keep volunteer training materials updated and distribute them to volunteers before sessions.
  • Ensure new volunteers are welcomed appropriately and are provided with all relevant information and support to ensure their continued participation.
  • Direct orientation and ongoing training of volunteers to address program needs as they arise.
  • Ensure that the Camp supports the work of the volunteers by managing volunteer recognition events each year (End of Summer Volunteer Appreciation Party, etc.).
  • Collect and analyze data from the post-session Volunteer Surveys.
  • Lead volunteer town hall after summer to review summer and highlights from survey data.

User Group Duties:

User Group Preparation and Support:

  • Coordinate with the Camp Director to identify all facilities needed for groups.
  • Work with the facilities team to ensure the readiness of all camp facilities for incoming groups.
  • Work with the Program team to ensure readiness of all program areas the group will be using.
  • Develop an orientation packet for the group leadership.

User Group Host Duties:

  • Greet and orient the group leadership to the rules, policies, contact list, meal times, schedule, and emergency procedures found in the packet.
  • Confirm the final participant numbers of the group and report that number to Camp Director.
  • Confirm final buildings and facilities used by the group and report that list to Facilities Manager to coordinate cleaning.
  • Be available during meals to assist with the dining hall orientation and meal flow and to serve as the liaison between the group leadership and the kitchen.
  • Assist groups with any needs that arise, as needed. If you cannot assist the group with its needs, contact the appropriate Camp staff who can help with the issue.
  • Open any needed program areas and orient the group leadership on program usage.
  • Go over the checkout sheet with group leadership on their last day.

Program Delivery Duties:

Program Development & Delivery

  • Develop and prep for summer, winter, and family camp activities, training, programs, etc.
  • Provide leadership for execution of Camp sessions.
  • Prepare and conduct pre-camp and in-service staff trainings.
  • Contribute to camp operational policies and procedures.

Provide Camper Support

  • Provide a physically and emotionally safe camp experience.
  • Support Camp volunteers and campers in all aspects of behavior management.
  • Maintain working knowledge of significant developments and trends in camp programming, youth development, and camp best practices.

Record Keeping

  • Collect and update yearly volunteer service numbers for Camp reports.
  • Keep Ultra Camp up-to-date to reflect the current status and information of volunteers (active, inactive, alumni).
  • Manage volunteer scheduling by maintaining and updating the database and maintaining session Excel reports of volunteers as needed.
  • Revise and maintain all volunteer forms for recruitment and registration of volunteers.
  • Collect and document best practices for volunteer management, including participation on the RMHCSC Volunteer Coordinator Committee, communicating with other nonprofits, researching the topic, and participating in professional development opportunities.

Communication

  • Develop and distribute a quarterly volunteer newsletter detailing Camp schedules, events, volunteer opportunities, and other important Camp information.
  • Work with the Communications Coordinator to post information on recruiting and hiring new volunteers and Camp session information for current volunteers.
  • Organize recruitment through print and online resources to educate prospective volunteers about different areas of volunteering.
  • Represent Camp at events where we might find volunteers.
  • Communicate regularly with staff regarding volunteer issues and needs.
  • Respond to telephone and email inquiries promptly.

Other duties as assigned.

Supervisory Responsibilities: Volunteers as necessary.

Education and Experience

Bachelor’s degree required; youth development, recreation, or related field experience; 2-3 years of experience working in residential camp programs; experience delivering youth leadership programming, ropes course/adventure programming preferred; ability to become certified in ropes course/adventure programming required; database experience a plus.

Certificates, Licenses, Registrations

Valid CA driver's license and good driving record.
