Overview:
Basic Purpose:
Provide overall management for events and conferences to include the event special events, galas, and weddings.
Position is responsible for the Department’s long term planning, as well as the efforts to maximize revenue and provide direction for the Hotel to exceed customer expectation
Communicates the vision for service delivery in Event Management to ensure guest is serviced from arrival to departure; through accurate room blocks, BEOs, and resumes
Organizational Scope:
The position has overall responsibility for executing all property events with a seamless turnover from sales to operations and back to sales.
Responsible to motivate, and manage the catering sales team to achieve established goals for day meetings, community events, special events, galas, and weddings.
Recommends budget and capital expenditures & manages expenses within approved budget constraints.
Responsible for up selling contracted food and beverage minimums
Reports to the Managing Director and serves on the Executive Committee.
Responsibilities:
Pre-Opening Planning
Solicit new and existing accounts to meet/exceed catering revenue goals
Establish conference service turnover procedures from the sales department
Professionally represent the hotel in community and industry organizations and events
With the Executive Chef and Director of Food & Beverage develop banquet menus pricing and revenue minimums using current competitive data
Begin to contact groups that have conferences in 2017
Direct, manage, train and counsel catering sales and conference services staff on arrival
Ongoing Planning –
Assists in the planning of long or short-term business objectives.
Assign conference service managers to accounts no less than the 6 months prior to arrival
Assist with the departmental annual operating budgets
Meet/Exceed Catering and AV sales revenue goals
Ensures the property is well apprised of all events that will impact property operations
Ensures exceptional customer service
Reviews property operations compliance metrics that have a direct relationship to events
Participate in Daily Business Review Meeting, sales meetings and management meetings
Sales Execution -
Ensure that all sales leads receive are responded to in a timely and efficient manner.
Ensures that all groups are receive exceptional attention well in advance through payment
Investigate complaints and takes corrective action. Provides service in a highly professional manner at all times.
Ensure that all Team Associates receive comprehensive training
Actively participate in catering sales presentations, property tours and customer meetings
Leads the Catering Team in proactive solicitation and account saturation
Leads the Conference Services Team in upselling efforts
Supports AV sales
Assists to close on all proposals
Reporting –
Prepare, implement and compile data for Sales and Marketing Plan, Monthly Reports, Annual Goals, Forecasts and other reports as directed/required
Prepare any reports concerning catering driven revenue, payroll expenses, and department expenses
Complete on a timely basis all PAF's/ADAP-ROD (personnel action form/developmental action notices) and forwards same to senior management for approval.
Review internal management reports to include: occupancy forecasts, night audit summary, and productivity results from the prior day
