Norton National is Hiring a Talent Activation Coordinator Near Las Vegas, NV

Position Summary: This role is responsible for overseeing the logistics related to event-day talent to ensure client orders are fulfilled effectively and efficiently. The incumbent ensures that talent is confirmed and properly prepared to deliver their services at the designated times and locations.

Schedule: part-time 20-35 hours/week depending on needs of the business (could have need for days/nights/weekend/available for on-call when needed)

Essential Duties and Responsibilities:

  • Respond to communications from talent and clients per set protocols via phone calls, text, and email.
  • Taking direction from the lead Talent Activation Coordinator or supervisor and implementing it effectively.
  • Collaborate with clients to ensure they can easily locate their assigned talent.
  • Collaborate closely with talent and internal teams to ensure seamless execution of logistics, addressing any issues that may arise to ensure successful service delivery
  • Communicate with talent to confirm their availability and provide them with necessary information for their assigned services at scheduled intervals
  • Update tracking systems as tasks are completed.
  • Verify that talent arrives on time as scheduled and update the relevant tracking information accordingly.
  • Communicate and assess appropriate Vendor Adjustments, as needed.
  • Track and report on talent logistics to optimize processes and improve client satisfaction
  • Coordinate with the Talent Booking team to find last-minute replacements if talent fails to appear.
  • Maintaining professional and clear communication via phone and text to convey important information, updates, and instructions.
  • Enhances the Company's customer service effectiveness and efficiency by actively participating as a valuable team member, offering suggestions, and collaborating with others.
  • Arrive punctually to work at scheduled times, utilizing dependable transportation to ensure smooth operations.
  • Delivers attentive, purposeful, and empathetic assistance to both internal and external customers encompassing duties such as promptly addressing phone calls and messages.
  • Applies Norton National's Core Values to enhance personal growth, contribute to the company's improvement, and positively impact others.
  • Other duties as assigned.

Education and Experience Requirements:

  • HS diploma or equivalent
  • One (1) year of experience in talent booking, event coordination, or related roles
  • One (1) years prior experience in a customer services & event or personnel industry preferred
  • Equivalent combination of formal education and appropriate related experience may be considered.

License & Certification Requirements:

  • None

Knowledge:

  • Proficiency with communication softwares and computerized systems commonly used in event planning and general office setting such as Google Suites, Asana, StaffConnect, Client Relationship Management Systems (CRMS)
  • Demonstrated capacity to consistently make positive contributions in a dynamic work environment
  • Comprehensive knowledge of the entertainment industry, encompassing talent agencies, event planning, and related sectors
  • Proficiency in talent booking procedures and awareness of industry trends
  • Effective communication skills with clients and leaders across all levels, from C-suite executives to entry-level support roles
  • Ability to work autonomously and efficiently manage personal and team schedules, prioritizing deliverables and deadlines
  • Creative problem-solving skills and innovative thinking
  • Exceptional writing, phone etiquette, and presentation abilities

Working Conditions and Physical Effort:

Physical ability and mobility to work in a typical office environment. Ability and willingness to occasionally commute to and from client projects. Strength to lift and/or move materials weighing up to 25 pounds frequently, 50 pounds occasionally. Vision to read printed materials. Stamina to sit and work with a computer for an extended period of time. Hearing and speech to communicate in person or over the telephone.
