Lexus of Pembroke Pines is Hiring a Body Shop Office Administrator Near Pembroke, FL

Job Summary:

The Body Shop Office Administrator maintains the accounts receivables, accounts payable accounts and monetary transaction procedures to company standards, ensuring an efficient, effective and profitable shop.

Essential Functions:

  • Understands and processes work related to repair orders, file jackets, insurance requirements, etc.
  • Receives and processes checks for accounts assigned.
  • Monitors account bank statements and records receipts.
  • Handles banking and credit card transactions including daily deposits and electronic postings.
  • Handles accounting transactions for the rental department.
  • Reviews and closes invoices, assuring that all information is correct and matches.
  • Monitors inventory reports.
  • Manages paint inventory and usage, addressing any concerns with Manager.
  • Attends meetings to review progress of shop and paint performance based on paint mix.
  • Assists with the maintenance of complete, accurate, properly formatted and classified and timely system of accounting for all sales, production costs, overhead expenses, and balance sheet items for the Body Shop.
  • Assures timely billing to all insurance carriers and other responsible parties.
  • Assist with flagging technicians.
  • May promptly and courteously answers the telephone, handling customer inquiries promptly.
  • May assist with proactive vehicle status class and customer follow-up calls.
  • May assist with maintaining employee personnel files, and payroll functions including timecards, overtime, bonuses, documentation, incentives, etc.
  • May work with OEM manufacturers to assist body shop managers in maintaining certifications.
  • May work with the Body Shop Manager to assist with marketing customers with direct mailers, or online materials.
  • May work with Body Shop Manager to keep the Body Shop website current and updated.
  • Assist in ensuring that the shop is always in compliance with OSHA regulations and requirements.
  • May perform other duties as requested by the Body Shop Manager or the Body Shop Director.

Education & Experience:

  • Associate's degree (A. A.) or equivalent from two-year College or technical school; or two to four years of related experience and/or training; or equivalent combination of education and experience.
  • Previous administrative experience in an Auto Body Shop administrative role or similar.

Knowledge, Skills, Abilities:

  • Ability to perform work safely
  • Organizes work effectively, prioritizes objectives, and exercises independent judgment.
  • Communicate effectively by phone, in person, and in writing.
  • Ability to produce accurate reports under time pressure, when needed.
  • Intermediate knowledge of internet software; inventory software; spreadsheet software; Word Processing software and order processing systems.
  • Intermediate language capabilities such as reading, analyzing, and interpreting general business periodicals, professional journals, technical procedures, or governmental regulations, write reports, business correspondence, and procedure manuals, and effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Intermediate math capabilities such as working with mathematical concepts such as probability and statistical inference, applying concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Intermediate reasoning capabilities such as applying common sense understanding to carry out instructions furnished in written, oral, or diagram form, and dealing with problems involving several concrete variables in standardized situations.

Schedule: Monday through Friday 8AM to 6PM, every other Saturday 8AM to 12PM.
