Description

We are searching for a Scheduling Coordinator to join our primary care medical office team in Jamestown, NY. The Scheduling Coordinator is responsible for optimizing provider time to meet patient demands and mitigate loss of revenue from scheduling errors, cancellations, and no-shows.

Job Title: Scheduling Coordinator 

Reports To: Operations Lead

Department: Clerical 

Supervises: N/A

Location: 103 Allen St Jamestown NY

Travel Required:<10%

Position Type: Full-time, Non-exempt 40 hours per week

Pay scale: $15 - $19 per hour

ROLE AND RESPONSIBILITIES:

  • Manage daily provider openings with frequent monitoring of schedules throughout the day and communicates effectively with all departments 
  • Address daily no-shows by counseling, rescheduling, and assessing no-show fees if appropriate
  • Assist Operations Lead with rescheduling due to Provider time off and Provider template maintenance
  • Completes reminder phone calls for all identified appointments
  • Assists call center due to high volume or coverage needs 
  • Compiles bi-weekly provider incentive information for payroll department
  • Monitor the practice waiting list and actively schedule patients within the appropriate timeframes
  • Perform daily scheduling reviews to identify and rectify scheduling errors
  • Provider schedule incentive daily tracking 
  • Maintains accuracy of the practice’s inactive patient report 
  • Addresses gap in care documents with providers and schedules patients accordingly 
  • May assist in other departments as needed
  • Any additional duties as assigned by management

Requirements

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Two years of experience in a customer service role 
  • Call center experience preferred
  • Experience in a medical office role preferred
  • High School Diploma or GED required
  • Associates Degree in related field preferred 

PREFERRED SKILLS: 

  • Excellent verbal and written communication skills
  • EMR experience preferred 
  • Excellent customer service skills required
  • Strong attention to detail, organizational skills, and ability to prioritize and meet deadlines
  • Strong analytical and problem-solving skills
  • Proficient in Microsoft Suite

PHYSICAL REQUIREMENTS/WORKING CONDITIONS

The physical requirements and working environment are typical of most medical office settings. Employees are frequently required to sit for long periods of time, stand, walk, balance, hear, talk, reach, and use their hands. Employees may occasionally be required to bend, stoop, kneel, crouch, climb (stepstool) and stretch. Physical effort requires some lifting usually not in excess of 15 pounds. The office work environment is indoors and free from dust, smoke, moisture, and excessive noise.
