ElderCircle is Hiring a Front Desk Receptionist and Program Assistant Near Grand Rapids, MN

Job Summary

ElderCircle is seeking a personable, self-motivated, reliable, and highly organized Front Desk Receptionist and program assistant who possesses a passion for serving older adults and their caregivers in a variety of ways. The position will report to the Executive Administrative Assistant. They will be responsible for delivering exemplary customer services to clients, volunteers and community members and to also support the agency as a whole. The ideal candidate can manage their own workload, prioritizing tasks, and thinking ahead to meet the needs of a growing organization.

Responsibilities and Duties

Front Desk Receptionist:

  • Will provide excellent, professional customer service to all visitors, callers, volunteers, clients, staff and others at all times.
  • Will greet all visitors/clients coming into ElderCircle with a smile and a warm voice. Will help with answering their questions as needed and if uncertain or unable to correctly answer, will request assistance from supervisor or another staff member.
  • ElderCircle is a source of resourceful and helpful reference at all times. If someone is looking for a service ElderCircle does not provide, they will always be given a resource to contact. Again, if you are unaware of how to assist someone with whom they could contact, please request assistance from your supervisor or another ElderCircle staff.
  • Will arrive on time for assigned/scheduled shifts.
  • Will keep the front area and work room clean. This includes wiping down desk and other surfaces. Includes vacuuming when necessary and emptying garbage. Cleaning Refrigerator when needed
  • Uphold a strict level of confidentiality
  • Will assist in other duties upon request

Activities/Education:

  • Will assist Program Director with facilitating the Active Living Center activities and events.
  • Will help with setting up activities and events which include support groups, meetings and board meetings.
  • Take reservations for activities and events

Program Assistant Duties:

  • Provide administrative support to all of ElderCircle programs and staff as assigned by Admin Assistant
  • Perform administrative office tasks required effectively and accurately.
  • Be trained on RideScheduler to assist in the absence of the Program Coordinator
  • Become familiar with and understand all of ElderCircle’s programs
  • Work on updating and verifying current information that should be included in the Aging Resource Guide and add additional information to the resource guide.
  • Ability to type Word documents, Excel spreadsheets, and effectively and properly use computer, copier and/or fax machines as requested/needed
  • Uphold a strict level of confidentiality.
  • Other duties as assigned.

Qualifications and Skills

Essential Qualifications:

  • Representational and public speaking skills.
  • Excellent communication skills, both verbal and written, including strong editing skills.
  • Exemplary planning and time management skills.
  • Demonstrated ability to manage multiple tasks, meet deadlines, and stay organized while providing acute attention to detail.
  • Willingness to be trained in ElderCircle’s electronic tracking system.
  • Willingness to be trained in multiple programs administered by ElderCircle.

Preferred Experience, but Not Required

  • Experience working with community leaders of diverse backgrounds.
  • Experience providing great customer service on the phone and in-person.

Preferred Knowledge, Skills and Abilities

  • Advanced ability to use Microsoft Office and 365 and Excel, Word
  • Ability to work in a small open office setting unsupervised and with regular interruptions.
  • Ability to learn multiple computer programs specific to the program.
  • Willingness to complete the training needed to fulfill all duties of the job description.

Physical Requirements

  • Hear and speak using the telephone and communication with people.
  • Work in an open office setting with interruptions
  • Able to sit at a desk for extended periods of time
  • Some travel with own vehicle may be needed
  • Assist or lift a minimum of 50 lbs on a regular basis.
  • Occasional stoop, kneel, crouch.

Job Type: Part-time

Pay: From $16.00 per hour

Expected hours: 32 per week

Benefits:
