Office Assistant II – Part-time Payroll Assistant

Position: Office Assistant II – (Part-time Payroll Assistant)

Under the supervision of the Payroll Administrator and Deputy Clerk-Treasurer this position assists with
processing of the City, Utilities and Pension payroll. The following is a list of duties that are normal for this
position, but not all-inclusive.
Essential duties and responsibilities:
➢ Assist with processing payroll under the guidance of the Payroll Administrator and Deputy Clerk-
Treasurer
➢ Maintain and process payroll information by collecting, calculating, and entering data for the City,
Utilities and Pensioners in ADP and Right Stuff software.
➢ Update payroll records for all employee changes in exemptions, insurance, direct deposits, and
department transfers etc.
➢ Prepare report summaries of earnings, taxes, deductions, leave, disability etc.
➢ Resolve payroll discrepancies by collecting and analyzing information.
➢ Generate reports to check for accuracy on Federal, FICA, Medicare, and state reports.
➢ Follow all payroll policies and procedures and works with customer support from ADP and Right Stuff
for questions and/or changes needed.
➢ Maintain confidentiality of all employees and payroll information.
➢ Perform, data entry, copying and filing.
➢ Perform other related duties as required.
Minimum Training and Experience Required:
➢ Associate degree in business-related field with emphasis on accounting and computer applications
with three to five years relevant work experience preferred; or equivalent combination of education,
training and experience which provides the necessary knowledge, skills, and abilities.
Special Requirements:
➢ No special licensure or certification required.
Minimum Physical and Mental Abilities:
➢ Ability to exert physical effort in sedentary to light work involving routine stooping, kneeling,
crouching, and reaching; ability to engage in prolonged visual concentration while working at the
computer.
➢ Ability to operate a variety of automated office machines including computer,
calculator, copier, fax, and departmental computer software.
➢ Ability to comprehend and correctly use a variety of informational documents, including Federal
tax forms, State tax forms, invoice billings, attendance records, payroll claim reports, and other
reports and records.
➢ Ability to comprehend a variety of reference books and manuals, including salary ordinances, union
contracts, software manuals.
➢ Ability to accurately record and deliver information and meet deadlines.
➢ Ability to use independent judgment, common sense, and principles of rational systems in the
performance of tasks.
➢ Ability to work under stressful conditions, to respond to crisis situations, and to balance priorities.

Rate of Pay:
Grade 6 as designated by current salary ordinance.
Hourly Minimum – Midpoint Range: $19.55 - $23.42/hourly based on current salary ordinance.
Work Hours and Days for Bi-weekly Payroll Processing:
Normal hours: 9:00 am – 5:00 pm, workdays may vary according to the payroll cycle as follows:
Week 1 – Thursday & Friday-work on payroll
Week 2 – Monday, Tuesday, Wednesday-work on payroll
