POSITION: SR. ACCOUNTING SPECIALIST

OVERVIEW:

SUMMARY: The Sr. Accounting Specialist will report to the Director of Finance and provide cross-functional financial support such as, administering payroll, resolving payroll issues, assisting with monthly, quarterly and annual closing, performing audits, cross training in AP & administrative support, invoicing and posting A/R receipts, providing accounting assistance to customers, responding to inquiries, recommending actions, reconciling account issues, and assisting the controller with accounting duties as needed. As a senior member of the finance team, the Sr. Accounting Specialist will drive continuous improvement within the department through recommending and implementing process changes in order to increase accuracy and efficiencies. Such improvements will be achieved through the evaluation of accounting procedures, workflows, and financial management systems. The Sr. Accounting Specialist will be dotted-lined to the Director of Administration as the position pertains to employee compensation information such as wage changes or benefits deductions. May assist the Controller with accounting duties as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Process payroll for B.E. Meyers & Co. employees, including hours worked, taxes and employee benefits withholdings.
  • Collect appropriate data and assist with the preparation of federal, state, and local reports and tax returns.
  • Ensure compliance with applicable government regulations and timeliness and accuracy of required filings.
  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.
  • Review wages computed and corrects errors to ensure accuracy of payroll; prepare periodic reports of earnings, taxes & deductions. Prepare and issues payroll statements.
  • Record changes affecting net wages such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records.
  • Record leave pay and nontaxable wages.
  • Submit tax and benefit payments.
  • Prepare quarterly and annual taxes.
  • Prepare and submits annual W2s and W3s.
  • Maintain and reconcile payroll and accounting liability accounts.
  • Install, modify, document, and coordinate implementation of accounting systems and accounting control procedures for payroll systems and procedures.
  • Process daily customer miscellaneous deposits in ERP/Accounting System.
  • Process bank check deposits.
  • Maintain, reconcile and submit monthly B&O taxes.
  • Maintain weekly AR trial balance and report for CFO.
  • Review new or revised customer purchase orders and government RFQs for accuracy.
  • Customer invoicing and posting customer payments.
  • Fully cross-train in Accounts Payable.
  • Assists with office clerical and administrative support such as data entry and filing.
  • Other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

An associate degree (AA) and two to three years of experience, or a combination of experience and education necessary to successfully perform the essential duties and responsibilities of this position. In addition, applicants with experience in the following will be given priority:

  • Experience and knowledge of government per diem-based reimbursement.
  • Knowledge of the Defense Contract Audit Agency (DCAA) allowable and unallowable expenses.
  • Experience working with BambooHR and TRAX Payroll is HIGHLY preferred.

LANGUAGE SKILLS

Employees must be able to read, write and communicate in the English language. The successful Sr. Accounting Specialist must be able to read and interpret documents such as financial statements, safety rules, procedure manuals, government regulations and other related records and documents. Effectively communicating across all levels of the organization is a must.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

CERTIFICATES, LICENSES, REGISTRATIONS

None.

COMPUTER SKILLS

  • Microsoft Office applications including excellent Word, Excel and Outlook skills.
  • Familiarity with accounting software and payroll systems.
  • Knowledge of Syspro ERP or equivalent.
