Austin Child Guidance Center is Hiring a Bilingual Client Receptionist/Administrative Specialist Near Austin, TX

Position Title: Bilingual Client Receptionist/Administrative Specialist

Direct Supervisor’s Title: Senior Director of Operations

Role Summary: The Client Receptionist and Administrative Specialist is responsible for providing client reception and back office administrative support. This position opens and/or closes the building, welcomes clients, collects payment, directs phone calls, coordinates volunteers, and supports other administrative tasks such as correspondence and entering and maintaining client and volunteer data according to accreditation and regulatory compliance standards and assisting with hospitality duties.

Minimum Qualifications

  • Minimum of a high school diploma or GED and 1-3 years’ experience in a similar setting such as a professional office
  • Working knowledge of Microsoft Word, Excel, and Outlook
  • Bilingual Spanish required.
  • Ability to work Monday-Thursday 9:00 am to 7:00 pm

Duties and Responsibilities:

Administrative Specialist

  • Provide general administrative and operational assistance to the agency.
  • Administer client surveys and assessments

Volunteer Coordinator

  • Conduct volunteer orientation training
  • Monitor volunteers to ensure compliance with agency procedures and regulatory guidelines (such as HIPAA and Joint Commission)
  • Complete volunteer evaluations, references, and letters of recommendations.
  • Maintain awareness of agency needs to make efficient use of volunteer assistance.

_ Client Receptionist _

  • Greet, check-in, and answer questions from clients and visitors using trauma-informed care practices.
  • Answer multi-line phone system and direct calls as appropriate.
  • Collect and post payments.
  • Enter cancel clients on EHR (Electronic Health Records) system.
  • Report maintenance emergencies.
  • Maintain First Aid and CPR Training Certification (funded by Austin Child Guidance Center) and administer First Aid or CPR in the event of an on-site emergency.
  • Follow agency safety and emergency procedures.
  • Assist with the implementation of program initiatives as assigned.
  • As a member of the Administrative Support Team, support the administrative functions of the agency as needed.
  • Further the mission of Austin Child Guidance Center through active support of strategic goals.

Competencies

  • Demonstrate ability to open/close building on time and ensure consistent front desk coverage during assigned shifts.
  • Demonstrate ability to provide first aid care.
  • Demonstrate clear and professional verbal and written communication with clients, staff, and members of the community.
  • Demonstrate knowledge of agency policies, procedures, and trauma-informed organizational practices
  • Demonstrates awareness of and respect for all populations ACGC serves including, but not limited to households with low-income, LGBTQ , people of diverse ethnic and racial backgrounds, people who are gender-nonconforming, survivors of crime and/or trauma, persons with disabilities and persons with limited English proficiency.
  • Maintain a warm, yet professional demeanor with clients and guests, including business casual attire consistent with ACGC (Austin Child Guidance Center) clothing policy.

  • Speaking and hearing ability sufficient to communicate effectively by phone or in person at normal volumes.
  • Vision adequate to read correspondence, computer screen, forms, etc.
  • While performing the duties of this job, the employee is regularly required to stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard.
  • Strength and motor skills to lift supply deliveries.
