We are seeking a detail-oriented and organized Product Coordinator to join our team. The ideal candidate will have experience in production planning, supply management, and procurement processes.

JOB TITLE: Product Sourcing Coordinator

POSITION REPORTS TO: Chief Operating Officer

JOB DESCRIPTION:

This position is responsible for all food and related product procurement, donor relations, food purchasing and logistics of purchased products. This includes management and evaluation of all food items needed for outreach programs to include but not limited to USDA, CSFP, Mobile Pantry, Child Nutrition, BackPack, Food as Medicine and special initiatives. Product Sourcing Coordinator will implement food sourcing plans to meet strategic initiatives as directed by senior management. He/she works within the guidelines, policies, and mission of the organization and is accountable and responsible for specific projects, as assigned.

JOB DUTIES:

  • Purchase Products for USDA, CSFP, Backpack, Child Nutrition and any other assigned programs.
  • Ensure all Purchase Orders, Receipts, Invoices and paperwork related to food purchases and donations are completed on a weekly basis.
  • Manage a food purchasing and freight budget.
  • Compare food costs within the food industry for all of our programs, and negotiate the purchase of these products.
  • Update, maintain and utilize the Primarius system to run donor reports for tracking trends and volumes.
  • Solicit food donations and related products from existing and potential customers, while maintaining and building strong food donor relationships. Research, contact and recruit new food donors and explain the donation process and the benefits of donating.
  • Develop creative food-raising programs to increase food donations.
  • Attend area food shows, trade events, and network conferences to build relationships and develop new donors.
  • Work with Senior Management to develop an annual work plan for food acquisition based on strategic planning.
  • Develop and manage retention programs to include thank you letters, site visits, food bank tours, certificate presentations, and other means of recognition for food donors.
  • Develop relationships with local farmers by educating them and encouraging them to participate in foodbank programs.
  • Provide professional, responsive and appreciative customer service to all food industry partners, donors, and co-workers.
  • Build strong, long-term donor relationships and maintain contact with food partners.
  • Monitor the FA CHOICE system, manage point balances, and procure needed items when available.
  • Handle all aspects of logistics with trucking companies for products sourced.
  • Maintain regular communication with Feeding America's product sourcing department for updated information and background about national partners.
  • Develop and maintain an accurate and comprehensive database listing of all food donors, government agencies, and vendors within the service area and the Foodbank’s interactions with them.
  • Collect information about best practices, and new innovations, in the food industry and food banking.
  • Collaborate with internal departments and other foodbanks to maximize donation opportunities, including regular strategy meetings with development, operations, programs, and agency relations.
  • Complete Feeding America’s three level curriculum for Food Sourcing (100, 200 and 300 series), and receive ServSafe certification. Keep certification current.
  • Work in tandem with the entire Operations, Agency and Nutrition team members and maintain flexible attitude supporting all stated objectives.
  • Train, manage and direct volunteers during tasks/assignments and show/share responsibility for the overall Volunteer Experience at the Foodbank.
  • Keep current on USDA, VDACS, AIB and Feeding America's standards.
  • Commit to and understand the VAPFB mission. This includes active participation in sharing the mission, vision and values of the organization, internally and externally, creating a culture of active philanthropy for and through all staff.
  • Perform in a manner consistent with company Vision, Mission Statement and Operating Principles.
  • Complete other tasks or projects as assigned or requested by the department head or Senior Management.

EDUCATION and WORK EXPERIENCE:

  • 2 - 4 year college degree in Supply Chain or Business Management, Marketing or related field preferred.
  • Minimum: 3 years of experience in sales or marketing or food banking preferred

QUALIFICATIONS: Required Skills, Abilities & Certifications/Licenses:

  • Ability to work evenings and weekends, as needed
  • Access to a vehicle to attend donor meetings, events and activities throughout 9 cities and counties of the Virginia Peninsula; with a good driving record and a valid VA driver's license
  • ServSafe Food Handlers Managers Certification or the ability to receive certification within three months of hire
  • Detail-oriented with ability to manage multiple tasks on tight timelines
  • Results-oriented with a friendly, collaborative approach and a team-oriented style
  • Proof of or a demonstrated ability to learn and acquire proficiency in new software systems
  • Highly proficient in MS Office (Word, Excel, PowerPoint)
  • Excellent human relations skills and abilities
  • Excellent skills in conflict resolution and an ability to manage and work through conflict
  • Ability to partner with key community donors
  • Ability to read, write and interpret documents such as procurement bills of sale, USDA reports, statistics, chemical SDS sheets, safety rules, operating and maintenance instructions and procedure manuals
  • Excellent oral communication skills
  • Highly motivated with strong interpersonal and organizational skills
  • Maintenance and accountability for high levels of customer service (internal and external)
  • Ability to perform basic math functions and to calculate figures and amounts such as percentages, proportions, conversion, weights and measures and volume Knowledge of basic accounting principles a plus
  • Ability to bridge cultural boundaries to overcome barriers and improve outcomes.
  • Ability to work in a diverse environment with people of various educational, ethnic and socio-economic backgrounds and ages

Physical Demands:

  • While performing duties of this job, the employee is regularly required to work in office or at program sites. On occasion may need to work in the field or in a warehouse environment.
  • This job requires that weight be lifted or force be exerted up to pounds when handling inventory, donations, equipment, documents, and files.
  • Close vision (clear vision at 20 inches or less) working with documents, computer screens and filing.
  • Distance vision (clear vision at 20 feet or more), peripheral vision, depth perception and ability to adjust focus when operating equipment.
  • Regularly required to talk or hear when communicating with employees and clients.

Job Type: Full-time

Pay: $40,000.00 - $43,000.00 per year
