Position SummaryThe Front Office Representative ensures all necessary documents are completed correctly and filed in each of the patient’s charts, as well as answers the phones and schedules appointments according to standard operating procedures.
BenefitsThe compensation for this position ranges between $19 per hour. WCC offers competitive salary and benefits including medical, dental, vision, 10 vacation days for first year employees, 12 paid holidays, sick leave, life insurance, retirement plan with match and free employee parking.
Education & Experience:
  • High School Diploma or equivalent
  • Prior work experience in Community Clinic or Doctor’s office preferred.
Essential Position Responsibilities:
  • Greets patients and screens for program eligibility
  • Check patients in by verifying their appointment time, asking patients to sign in, and giving appropriate forms to complete
  • Confirm patient eligibility for medical insurance coverage
  • Make appointments for patients on the phone or in person according to standardized procedures; confirms future patient appointments
  • Completes daily provider tracking log and gives to Clinic Manager
  • Helps patients’ complete forms as necessary to help maintain front office flow
  • Assists in rescheduling patients as necessary
  • Coordinates patient transportation as necessary
  • Print immunization CAIR routing slips
  • Answer calls within prescribed time and always maintains professional, effective and polite communication.
  • Ability to file and pull charts as necessary.
  • Appropriately route calls, takes complete messages.
  • Enters data in the computer system to update patients’ information.
  • Collects co-payments/donations and prepares receipts; responsible for cash box.
  • Assists the clinician in following up with broken appointments, abnormal test results or routing follow-up care by contacting patients via telephone or mail and documenting the information in the medical records and appropriate logs.
  • Maintains confidentiality of patient information and medical records according to HIPPA guidelines or according to WCC patient confidentiality policies.
  • Demonstrate understanding of WCC policies and procedures.
  • Interacts with patients, physicians, staff, vendors, and visitors in ways that demonstrate caring and reflect the WCC mission and philosophy.
  • Fosters an environment that promotes trust and cooperation among all staff of WCC
  • Attends WCC meetings as required
  • Other duties as assigned.
  • Maintains confidentiality of all patients’ information.
  • Performs other duties as assigned.

  • Bilingual in English/Spanish and ability to read and write in both languages

  • Prior work experience in Community Clinic or Doctor’s office preferred.
