Spokane Dermatology Clinic is Hiring a Spa Medical Coordinator Near Spokane, WA

Job purpose

Responsible for ensuring that: Clients and employees have an excellent experience in the Spa; Inventory controls with a high level of accuracy and ordering of medical injectables and lasers are maintained with a high level of accuracy; Spa events are flawlessly executed, and contribute to improved sales volume.

Oversees Spa Providers, Medical Assistants and Aestheticians product needs, training, continued education, and their schedules.

Duties and responsibilities

Client Experience Responsibilities:

  • Ensures that clients/patients and visitors are being welcomed by greeting them, in person or on the telephone; answering or referring inquiries.
  • Ensures the optimization of patients' satisfaction, provider time, and treatment room/resource utilization by scheduling appointments in person or by telephone.
  • Guarantees registration of new clients/patients and that existing patient records are being updated on demographics by collecting accurate and detailed patient information including personal and financial/insurance information.
  • Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.
  • Performs other administrative duties such as emailing and faxing, filing, scanning, etc.
  • Ensures that client payments and balances are being collected and recorded; maintains and accurately records Werschler Loyalty Points and Vendor Loyalty Programs.
  • Balances payments received daily, reconciling to Batch Trial Balance Report.
  • Organizes, routes and files charts, fee slips, and scanned documents, during and at the end of each day.
  • Ensures spa is impeccably cleaned, organized, and shelves are fully stalked before opening each day.
  • Effectively delegates responsibilities and duties to employees as needed.

Event Responsibilities:

  • Proposes, creates and coordinates spa medical events, including preparing budget, developing themes and facilitating vendor resources.
  • Coordinates with Spa Owner, Marketing and Events Manager, and Spa Front Office Manager to confirm provider and aesthetician availability for events.
  • Coordinates with Spa Owner, Marketing and Events Manager and Spa Front Office Manager to confirm event dates and scope, and ensure appropriate staffing for event.
  • Serves as liaison with vendors to improve the event planning and implementation process and create positive relationships.
  • Creates schedules for Medical Assistants and Aestheticians in adherence company policies and budget.
  • Ensures that on-site event production and clean-up is completed.

Inventory/Product Promotion Responsibilities:

  • Maintains accurate inventory controls by overseeing the recording of products in Spa filler and toxin inventory log and ensures that all products are stocked.
  • Coordinates with Spa Owner and Marketing and Events Coordinator to develop and execute seasonal and monthly product promotions.
  • Ensures that all invoices are submitted to accounting and payables in a timely manner.
  • Coordinates with Spa Owner to submit product orders as needed.
  • Ensures that pictures are being taken weekly of products in use and submits to Spa Owner and Events and Marketing Manager for social media promotion.

Qualifications

  • High School Diploma or Equivalent; post-secondary training preferred.
  • Computer experience, medical systems preferred.
  • Excellent communication skills at all levels,
  • Strong organizational skills, able to set priorities.
  • Ability to be flexible and change direction as business demands.
  • Displays exceptional customer service skills.
  • Team player with ability to work collaboratively.

Working conditions

  • Indoor, environmentally controlled environment.

Physical requirements

  • Ability to lift and/or move up to 25 pounds.

Job Type: Full-time

Pay: $22.00 - $27.00 per hour
