Restoration Healthcare is a Southern California-based medical practice that is on a mission to restore hope and optimize the body’s innate ability to heal from within through the compassionate delivery of functional medicine has an immediate opening for a full-time Office Manager in our Irvine, California office.Our Office Manager will play a key role in providing exceptional customer service for a wide range of patients from all walks of life while also being the point person for maintaining support staff organization and oversight of our Irvine office; salary will be based on experience. Job SummaryReporting to the Medical Directors with dotted line reporting to the CEO, our Office Manager maintains our support staff office services by scheduling and managing office systems, procedures and operations. This role also oversees incoming and outgoing correspondence and communication, helps develop and maintain information in the EMR and corporate database, monitors clerical functions and serves as a lead for our Front Desk/Reception team. In addition to overseeing the Irvine office as well as offering exceptional customer service to our patients, your essential job functions include:
Office Manager Primary Job Duties
  • Oversee and support all administrative duties in the office to ensure the office is operating successfully
  • Identify and address any performance issues encountered with subordinate staff members, providing developmental coaching and corrective action in partnership with the associate medical director.
  • Manage office supplies, inventory counts, and place replenishment orders as necessary
  • Maintain cleanliness standards and optimizes efficiencies to provide a welcoming experience for patients
  • Organize maintenance of office furniture, appliances, etc.
  • Process payroll for the organization and manage requests within the processing system
  • Assist in resolving patient disputes and balance inquiries with our billing partners
  • Manage billing inboxes and provide patient support to answer inquires
  • Review insurance coverage and provide estimates to engage patients in financial informed consent
  • Work with compliance partners to keep clinic up-to-date
  • Develop office policies and procedures, and ensure they are implemented appropriately working with the operations manager to establish SOP
  • Perform retail sales and collect patient payments, answer questions and address complaints or problems onsite
  • Assist with office layout planning and logistic moves, concurrently tracking and maintaining IT infrastructure protocols
  • Identify opportunities for process and office management improvements, working closely with senior management to implement approved designs that will improve office systems
  • Execute deliverables as assigned by the medical directors and CEO to maximize systems, processes, and new workflows
  • Relay any equipment needs/repair maintenance for follow up with contracted services providers to assist in resolving clinic facility issues on demand
  • Provide other administrative support as necessary, including scheduling group meetings/lunch, conducting targeted research, and creating reports

  • Must be able to work well under pressure at times
  • Willingness to remain open to learning new things is crucial

Required Physical Demands
  • Perceptive acuity and physical ability to perform all direct and indirect workplace functions including walking, sitting, standing, bending and light lifting is required.
  • Ability to occasionally lift and carry 25 lbs. up to 50 feet
Educational And Experience Requirements And PreferencesHigh School Diploma or GED Equivalent
3 years’ experience in office management, customer service, and/or other management with demonstrated success required
