SUMMER HILLS VETERINARY HOSPITAL is Hiring a Front Desk/ Receptionist Near Citrus Heights, CA

**Job Summary:**

"We are seeking a highly organized and customer service-oriented individual with a proven history of working as a receptionist in the veterinary field to join our team as a Front Desk Receptionist in our veterinary clinic. Experience in the veterinary field is a must."As the first point of contact for our company, you will play a crucial role in providing excellent customer service and creating a positive impression for our visitors and clients. The ideal candidate will be an experienced receptionist who has previously worked in the veterinary field. You should be able to thrive in a busy environment, demonstrating fast-paced work capability and the ability to multitask effectively, including taking calls and interacting with clients simultaneously. Additionally, patience and tolerance for anger are essential, as you will need to be respectful and polite with people under all circumstances.

**Duties:**

1. **Greeting Clients and Pets**: Welcome clients and their pets in a friendly and professional manner, making them feel comfortable and valued upon arrival.

2. **Managing Appointments**: Schedule appointments for clients, manage the clinic's calendar to optimize the workflow for veterinarians, and send appointment reminders to clients.

3. **Handling Phone Calls**: Answer phone calls promptly, provide information as requested, or direct calls to the appropriate staff member. This also includes taking messages and managing voicemail.

4. **Client Communication**: Provide clients with information regarding services, treatments, and procedures. This may involve explaining pre-visit preparations, post-visit care, and answering general inquiries about animal care.

5. **Patient Records Management**: Maintain and update patient records with accurate information, including contact details, medical histories, and visit notes. This often involves using veterinary practice management software.

6. **Billing and Payments**: Process billing transactions for services rendered, handle payment collection, and discuss financial options with clients as necessary.

7. **Medication and Prescription Management**: Assist in filling prescriptions as per the veterinarian's instructions and provide clients with instructions for medication administration.

8. **Managing Emails and Correspondence**: Check and respond to emails, manage the clinic's general inbox, and ensure that any important messages are forwarded to the relevant staff members.

9. **Facility Maintenance**: Ensure that the reception area and waiting room are clean, organized, and welcoming. This may involve restocking brochures, magazines, and maintaining a tidy environment.

10. **Supply Management**: Keep track of office and clinic supplies, including brochures, forms, and stationery, ensuring that stock levels are maintained and reordered as necessary.

11. **Client Education**: Educate clients on preventive healthcare, nutrition, and basic animal care as needed.

12. **Emergency Triage**: Identify emergency situations over the phone or in person, and ensure that urgent cases are prioritized and seen by a veterinarian promptly.

13. **Liaising with Veterinary Staff**: Communicate effectively with veterinarians and veterinary technicians about client concerns, appointment schedules, and patient needs.

14. **Confidentiality and Sensitivity**: Handle sensitive situations with confidentiality and empathy, especially in cases of sick or distressed pets and their owners.

15. **Feedback Collection**: Collect feedback from clients to improve service quality and client satisfaction.

**Qualifications:**

- Previous experience in a front desk receptionist or customer service role is a MUST, with a strong emphasis on experience in the veterinary field

- Proficient in using phone systems, email, and other office equipment

- Strong organizational skills with the ability to prioritize tasks effectively

- Excellent communication skills, both verbal and written

- Detail-oriented with a high level of accuracy in data entry and record keeping

- Ability to multitask and work efficiently in a fast-paced environment

- Knowledge of veterinary office procedures is a plus
