Overview

The Payroll Specialist is responsible for processing payrolls and maintaining employee time records. This position is responsible for ADP configurations and for preparing internal and external reports.

Essential Functions

  • Enters, maintains, and/or processes information in the payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, deductions and withholding, address changes, and other information, and maintains personnel files
  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions
  • Process special transactions, off-cycle payments, and manual checks as needed
  • Conducts validation of payroll transmissions
  • Initiates bank transfers for payroll related payments
  • Researches and interprets multi-state tax requirements
  • Responds to and resolves payroll inquiries
  • Audits time keeping records on a bi-weekly schedule
  • Provides technical set up of payroll related items which may include pay rules, pay codes, earning/deduction codes, and federal/state/local taxes
  • Configures and tests complex payroll changes, troubleshoots system problems
  • Provides training/assistance to employees with time access and managers with time approval authority
  • Assists in internal and external audits
  • Collaborates in the filing of state and federal payroll tax returns.
  • Plans, organizes and prioritize tasks to meet critical deadlines in a fast-paced environment.
  • Maintains strict confidentiality
  • Performs other duties and/or tasks as assigned

Non-Essential Functions

  • Assists other HR team members as needed

Required Qualifications and Education

  • Associates degree or equivalent work experience
  • 1-3 years of related payroll work experience
  • Experience in processing payroll for employer size of 500 is preferred
  • Experience in processing multi-state payroll tax returns is preferred
  • Experience with ADP or Kronos is preferred
  • Strong knowledge of Microsoft Office Suite
  • Excellent oral and written communication skills, and interpersonal skills
  • Strong time management, and problem-solving skills, strict attention to detail
  • Exceptional level of responsibility, integrity, and confidentiality
  • Strong teamwork ethics

  • Must be able to remain in a stationary position 7 hours
  • Must be able to occasionally move about inside the office to access file cabinets, and office machinery
