PAYROLL, BENEFITS & WELLNESS COORDINATOR

DEADLINE: Vacant until filled

The Mequon-Thiensville School District is seeking an exceptional individual to assume the position of Payroll, Benefits & Wellness Coordinator. This individual will be responsible for the preparation of the district’s semi-monthly payroll, overseeing the administration of the district's benefits handling all payroll related records and reports and oversees the district's wellness program. The Mequon-Thiensville School District is a PK-12 district located along the coast of Lake Michigan in a northern suburb of Milwaukee that serves more than 3,500 students. Position Description
PAYROLL, BENEFITS AND WELLNESS COORDINATOR

Job Summary: The essential function of the position within the organization is to oversee payroll operations for all employees within the Mequon-Thiensville School District, coordinate all benefits and oversee the district' wellness program.

Required Education and Experience:

  • Associate's Degree or two-year college equivalent with course in accounting and business operations
  • Experience in preparation of payrolls and related reports

Preferred Education and Experience:

  • Experience with Skyward

Required Skills/Abilities:

  • Dependable and conscientious with a strong work ethic
  • Personal characteristics that reflect excellent record-keeping, organizational ability, broad knowledge of administrative functions and personal relations skills
  • Effective written and oral communications skills and ability to work well with others
  • Ability to work in a fast-paced environment and handle urgent and unexpected situations

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 10 pounds at times
  • Normal visual acuity and field of vision, hearing and speaking abilities

Reports to: Executive Director of Business Services and Operations

Essential Functions:

  • Prepare all necessary payroll data and process all related payrolls for employees of the Mequon-Thiensville School District and upload payroll transactions files to all appropriate vendors
  • Update all payroll files in Skyward Finance for all applicable pay records, deductions and benefits
  • Conduct annual insurance open enrollment process and all mid-year qualifying even changes for all insurances
  • Collaborate with the district's benefit consultant to ensure benefits are administered in accordance with plan documents
  • Complete all required unemployment reports and respond to all unemployment inquiries
  • Oversee the district's wellness program for all employees in coordination with the district's health insurance plan and employee health clinic
  • Assist the Accounting Manager with payroll related reconciliation and miscellaneous reports
  • Produce and distribute annual notices for all benefits plans
  • Oversee administration of retirement plans to include WRS and 403(b) plans to include monitoring eligibility of employees and processing new enrollments and employee status changes
  • Maintain data and calculate payroll to account for employee absences and leaves and monitor contract and wage changes to ensure proper payment to employees
  • Comply with all payroll laws and regulations and be familiar with all HIPPA regulations affecting confidentiality and maintain records according. Notify supervisor regarding any concerns for compliance
  • Prepare and distribute annual payroll schedules, notice of wage and benefits information and work calendars for Educational Support Personnel
  • Process employee verification of income information
  • Prepare and process quarterly payroll taxes
  • Prepare and process annual reports including W2s, 1094/1095, WRS Annual Report and CMS Filing
  • Monitor hours worked to determine eligibility in order to complete annual ACA report and 1095-C's
  • Audit benefits invoices for accuracy and report all necessary changes in a timely manner
  • Assist employees with resolutions on benefit claim issues
  • Report employees eligible for COBRA to COBRA administrator
  • Maintain records and issue notices for collection of all health/dental insurance premiums from retirees or terminated employees
  • Assist in managing the district's wellness program to include coordination of events and activities
  • Perform such other duties as may be assigned by the executive Director of Business Services and Operations
