JOB DESCRIPTION

We are looking for a Medical Assistant to work with our providers and ensure our patients are receiving their best quality care.

The following are some of the essential functions you would be responsible for :

ESSENTIAL FUNCTIONS :

Medical Assistant

  • Interact with patients and employees in a respectful manner consistent with the mission and values of Sun Life
  • Identify patient service requirements by establishing rapport with the patient and others while being aware of age specific needs protocols.

Exhibit knowledge of growth, development, and age appropriate communication. Ability to assess, provide and interpret age specific data.

Ability to involve family or significant other in decision-making related to plan of care

  • Promote teamwork within the facility to improve patient access and patient outcomes to increase the efficiency of the team and the site as a whole
  • Assists with orientation and training of new hires acting as preceptor
  • Review and follow up on patient self management goals. Perform patient education activities as directed by provider
  • Review preventative care needs of the patient and alert the provider. Examples are male or female preventative exams, immunizations and other recommended age related screenings
  • Ensures pre-visit information is reviewed and completed
  • Provide patient preparation and assist the provider as requested. Instruct patients as directed by provider. Implement provider orders promptly and with accuracy
  • Maintain documentation of patient care services by completing patient and department records in accordance with established policies and procedures.
  • Document procedures, medication, delivery of care, and pertinent information regarding care rendered to the patient. Routine and timely documentation of all core process work activities including, but not limited to, evidence-based chart reviews, patient calls & correspondence
  • Administers injections to include immunizations and fills out appropriate paperwork for recording purposes
  • Educate patient on medications and directions for use; or changes made at time of patient appointment. Call in prescription refills as directed by the provider.

Support patients and providers in the medication refill process. Notify patients when prescription orders are ready, faxed or submitted to pharmacy.

Complete prior authorizations for medications

  • Answer telephone calls and take messages for the provider and / or return telephone calls to patients, documenting all patient interaction in the patient medical record.
  • Contact patients to report lab test results, change in medication.
  • Contact patient by phone or letter of any no show / missed appointments.
  • Facilitates any patient reports and delivers them to the provider. Provide an effective communication link between patient and medical staff, including relaying messages from providers, gathering information from patients for providers
  • Process referrals if required (those not processed by referral department) and set up and arrange for patient to receive home health visits
  • If required or necessary make appointment for the patient for diagnostic procedures and / or with a specialist.
  • Act as a liaison with the providers, other doctors offices and the hospital
  • Protect patients and employees by complying with infection control policies and protocols, following medication administration, storage procedures and controlled substance regulations
  • Maintain Universal precautions and follow all applicable SLFHC procedures regarding infection control and reducing healthcare acquired infections (HAIs).

This includes but is not limited to, good hand-washing and gloving practices

  • Cleans and prepares rooms between procedures, and restock supplies
  • Completes patient care requirements by performing tests and completing other tasks as assigned, set up rooms, place patient in room, takes patients vital signs, height, weight, pulse ox, oxygen levels, etc.

and records them in the chart, prepares patient for examination by the provider, assists with performing EKGs on patient, and assists the provider with patients care

  • Performs sterilization of instruments and surgical packs in a timely manner, washes and dries instruments used, and prepares for sterilization as required
  • Performs specimen collection and Performs laboratory CLIA Waived testing for which they have received training
  • Assures quality of care by maintaining clinic standards of care while adhering to requirements of other governing agencies
  • Ensures operation of medical equipment by completing preventive maintenance requirements; following manufacturers instructions;

reporting malfunctions, requesting repairs, maintaining equipment inventories, and evaluating new equipment and techniques

  • Maintains nursing supplies inventory by anticipating needed supplies. Keeps rooms stocked with adequate medical supplies, ensuring that all medical supplies items are within the expiree date
  • Reports communicable disease to County Health Department as needed
  • Adheres to expectations of required / mandatory in-services and certifications.

Front Desk

  • Verify cash in cash box at the beginning of shift and reconciles cash count at the end of the day
  • Prepare and submit drawer count, reconciliation form, all balancing reports, and post settle to the Accounting Department
  • Greet and check in patients in a courteous, friendly and professional manner
  • Verify patient information (insurance, address, telephone number), complete Advance Directive, Medicare questionnaires, financial policy, and make necessary changes in the practice management system.

Review dorms for completeness and accuracy of information

  • Verify patient identity by requesting government issued photo or two forms of non-photo identification of patient or responsible party (parent, step-parent, or guardian) and scan in to the practice management system
  • Answer questions regarding patient account status. Refer patient to appropriate department when questions involve patient account activity such as collection, slow pay, fee-for-service errors, claim processing or refunds to patient
  • Determine correct amount of co-payment and collects it before services are rendered. Collect fees per current policy and based on payor agreement by contract, fee-for-service, and private insurance, or self-pay.

Inform new patients of SLFHCs current payment policy

  • Collect payments made to outstanding accounts
  • Refer patient to Outreach department if eligibility for sliding fee is identified or if a change in payor source is identified
  • Answer questions regarding patient accounts, services provided by the clinic, and all other pertinent questions
  • Provide patients with information regarding cost of services
  • Check patient out, and, if necessary, schedule follow-up appointment
  • Answer incoming telephone calls and messages in a timely and professional manner, and routes them to the appropriate medical staff / provider
  • Creates packets for new patients as needed or requested
  • Complete and process medical records releases
  • Assure compliance with all HIPAA requirements. Maintain patient confidence and protect clinic operations by keeping information confidential, and following release of information protocol
  • During staff shortages and / or busy times, provide coverage for outlying sites as needed to ensure quality and expedient customer service.

Phlebotomy

  • Communicate and assist patients in a professional and courteous manner.
  • Assures patient waiting times are in the best interest of the patient and the flow of the draw room is timely and professional.
  • Verify and complete orders. Identify the patient and confirm the correct patient record.
  • Resolve orders in the EHR and LIS.
  • Complete appropriate laboratory forms documenting tests performed and noting the diagnoses correlating to tests performed.
  • Complete lab requisition forms and produce appropriate labels for forms and specimen container(s).
  • Obtain specimen(s) from patient of all ages per lab requisition and testing lab requirements, assuring the quality of operations.
  • Evaluate each request for a laboratory test to identify proper number and type of containers necessary to facilitate distribution to appropriate laboratory sections and reference labs.
  • Instructs patient on the collection of urine samples, tolerance tests, and stool samples.
  • Process specimens per testing lab requirements in a timely manner.
  • Perform CLIA Waived and Point of Care testing per Laboratory Procedure Manual guidelines.
  • Creates slides for manual differentials when necessary.
  • Perform quality control appropriate for the testing performed and document on the appropriate log. Report to Medical Technologist or Laboratory Manager when result(s) are outside its limits.
  • Review logs for clerical accuracy, clinical indications, and prepare for monthly audits.
  • Consult with Medical Technologist or Laboratory Manager regarding difficult tests or abnormal findings.
  • Follow department preventative maintenance schedules.
  • Document instrument checks, preventive maintenance, routines, problems, and corrective actions taken.
  • Notify Medical Technologist or Laboratory Manager of equipment failure and document the problem, steps taken, and final corrective actions.
  • Recognize, analyze, and take corrective action to resolve instrument or clinical problems.
  • Report unresolved instrument or clinical problems to the Laboratory Manager.
  • Clean laboratory glassware, refrigerators / freezers, centrifuges, and equipment by maintenance protocol and as necessary.
  • Complete LIS tasks : Work in Progress, Reference Lab Match Queue, etc.
  • Check specimen send-outs, remediating and documenting any errors found.
  • Participate in laboratory continuing education programs.
  • Keep work area neat, clean, and maintain adequate laboratory supplies.
  • Assist with training phlebotomy clinical students from affiliated schools.
  • Available to cover at other SLFHC locations when needed.
  • Perform all other related duties as assigned or requested by the Laboratory Manager.

Qualifications

EDUCATION AND EXPERIENCE :

  • High School Diploma or GED
  • Medical Assistant certification (CMA or RMA) required.
  • If not CMA or RMA, employee must achieve within 60-days of employment.
  • Preferred 2-5 years' experience as a Medical Assistant
  • Cardiopulmonary Resuscitation (CCR) required.
