Cone Distributing is Hiring a Receptionist/HR Assistant Near Ocala, FL

Objective

The Receptionist / HR Assistant will be responsible for creating a first impression of our organization in the minds of our visitors, vendors, and customers when receiving the public and handling inquiries from both internal and external customers. In doing so, the Receptionist / HR Assistant promotes our professional, team-oriented culture and helps our partners to see why this is a fantastic organization to be a part of. Our Receptionist / HR Assistant supports the Human Resources team and in addition also serves our team members and management needs.


Responsibilities

The Receptionist / HR Assistant will autonomously complete duties and functions in an accurate, timely and thorough manner with minimal supervision working closely with the HR Generalists and the HR Director.


Receptionist Duties

  • Handling in-coming phone calls and greeting visitors (internal and external) in a professional and timely manner.
  • Maintain and keep up-to-date company lists such as the vacation schedule, birthday and anniversary postings and distribution/mailing of same.
  • Assist various departments with special projects including coordination, documentation, support, and execution.
  • Accurately composes correspondence, reports, and other company material as requested.
  • Offers ad hoc administrative support to management and the Human Resources department.
  • Responds to inquiries from team members, customers, vendors, and visitors with professionalism referring them to the appropriate person or department.
  • All other duties as assigned.

Human Resources Assistant Duties

  • Process applications in accordance to HR department guidelines.
  • Schedule interviews with prospective team members and track in HRIS (Paycom).
  • Support the on-boarding process of new employees, including but not limited to preparing new ID badge, distributing uniform shirts/hats or other items, as necessary.
  • Basic record keeping tasks including scanning, saving, and labeling electronic documents/files.
  • Order company shirts/hats and other company logo items as necessary, track inventory, process payroll deduction paperwork and reconcile invoices for same.
  • Process verification of employment requests.
  • Track driver licenses and DOT Medical Certificate expirations and send Team Member for renewal.
  • All other duties as assigned.

Position Requirements

  • Reliable daily attendance (Monday Friday; times dictated by company needs)
  • Knowledge of clerical and administrative procedures.
  • Good communication skills and professional personal presentation.
  • Ability to manage confidential information of customers and employees.
  • Must possess organization and planning skills and be customer service oriented
  • Strong keyboard skills including working knowledge of MS Word, MS Excel, and PowerPoint
  • Great attention to detail and stress tolerance.
  • Should be honest, respectful, and trustworthy.

  • Ability to pass drug screening and background check.


Education and Qualifications

  • High school diploma in any field from an accredited institution.
  • Degree in any field from a certified college.
  • Must possess 2-3 years’ experience in administrative and/or clerical activities.
  • Ability to quickly learn and work with multiple computer systems and records retention tools.
  • Working knowledge of Paycom a plus or a demonstrated ability to learn HRIS systems is required.
  • Ability to work multi-line phone system (Mitel), copiers, and fax machines.
