Summary:
Under direct supervision of the Tribal Chairman, the Executive Secretary provides high-level administrative, clerical, and confidential support to the Chairman and Tribal Council as assigned. This position is responsible for managing communications, coordinating meetings, preparing official correspondence, maintaining records, and ensuring efficient day-to-day administrative operations of the Chairman’s Office.
This position requires a high degree of professionalism, discretion, confidentiality, and the ability to manage sensitive Tribal matters while maintaining strict adherence to Tribal policies, procedures, and chain of command.
Responsibilities:
- Provides direct administrative support to the Tribal Chairman.
- Manages daily office operations including scheduling, correspondence, and document preparation.
- Screens phone calls, visitors, and inquiries, routes to appropriate personnel.
- Maintains Chairman’s calendar, schedules appointments, meetings, and travel arrangements.
- Prepares agendas, meeting packets, and supporting documents for Tribal Council and committee meetings.
- Serves as primary point of contact between the Chairman, Tribal Council, departments, external agencies, and the public.
- Drafts, types, and distributes correspondence, memoranda, reports, and official Tribal documents.
- Ensures timely follow-up on directives, requests, and assignments from the Chairman and Tribal Council.
- Coordinate with Program Directors to gather reports and information for meetings and decision-making.
- Maintains confidential files, records, and documents in accordance with Tribal policies and records retention requirements.
- Records, transcribes, and distributes meeting minutes as assigned.
- Ensures proper documentation of Council actions, resolutions, and official correspondence.
- Handles sensitive and confidential information with the highest level of discretion.
- Ensures compliance with Tribal policies, procedures, and applicable laws.
- Maintains professionalism and neutrality in all communications and interactions.
- Coordinates logistics for Tribal Council meetings, executive sessions, and special events.
- Prepares meeting materials and ensures all required documentation is available.
- May require attendance at evening meetings, Tribal Council meetings, and community events.
- Assists with community meetings, public hearings, and official Tribal functions as directed.
- Maintains office supplies and equipment for the Chairman’s Office.
- Coordinates document filing systems (electronic and hard copy).
- Assist in improving administrative processes for efficiency and organization.
- Performs related duties as assigned by the Tribal Chairman.
- Supports special projects, initiatives, and Tribal priorities as directed
Knowledge, Skills and Abilities:
- Knowledge of office administration practices and procedures.

- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with attention to detail.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to interact professionally with Tribal leadership, staff, and the public.
- Knowledge of Tribal governance, policies, and procedures preferred.
- Ability to sit for extended periods.
- Ability to lift up to 25 pounds.
- Ability to operate standard office equipment.
Qualifications:
- Associate’s degree in business administration, Office Management, Public Administration, or related field required;
bachelor’s degree preferred or a combination of education and relevant experience. - Minimum of three (3) years of administrative or executive support experience, preferably in a governmental or Tribal setting.
- Experience working with confidential information and executive-level operations required.
- Must pass a background check.
- Valid NV driver’s license may be required.
- Must provide a NV driver’s report.
- Must always maintain strict confidentiality.
