About the Role
WorldTech IT is seeking a highly organized, detail-oriented Executive Administrative Assistant to support the CEO in a fast-paced, hands-on environment. This role is focused on day-to-day coordination, scheduling, task execution, and administrative support that helps keep priorities organized and work moving forward. This position requires a proactive and dependable individual who is comfortable handling a mix of business and occasional personal logistics with discretion. The ideal candidate thrives in an in-person environment, takes pride in getting things done well, and is willing to step in wherever needed to support the CEO and small team. Success in this role comes from responsiveness, strong organizational skills, attention to detail, and the ability to manage multiple moving parts efficiently.
Responsibilities
- Manage and coordinate the CEO's calendar, including scheduling, rescheduling, and prioritizing meetings across professional and personal commitments.
- Track action items, reminders, and follow-ups to ensure deadlines and priorities stay on track.
- Prepare and format documents, presentations, reports, and other administrative materials.
- Coordinate meetings with internal team members, external partners, and stakeholders, including logistics and preparation.
- Support light office operations, including vendor coordination, deliveries, and team logistics.
- Arrange travel, itineraries, and scheduling logistics for the CEO and occasionally other team members.
- Assist with personal scheduling and logistics with professionalism and confidentiality.
- Provide general administrative support across a wide range of tasks to ensure smooth day-to-day operations.
- Assist with small office coordination tasks such as meals, supplies, and general organization.
Qualifications
- 2–5 years of experience in an administrative assistant, executive support, or similar role.
- Must reside in Austin, TX (78702 Zip Code)
Required Skills
- Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational skills with the ability to manage multiple priorities and maintain accuracy.
- Professional written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Comfort working onsite in Austin, TX (78702) in a fast-paced environment.
Preferred Skills
- Experience supporting a CEO, founder, or senior leader.
- Experience with tools such as Salesforce, Monday.com, or similar platforms.
- Experience with travel coordination, event support, or office management.
- Exposure to technology or professional services environments.
