What You’ll Do – The Day-to-Day

You are the CEO’s right hand – running the calendar with discipline, anticipating needs, and ensuring nothing slips through the cracks. Responsibilities include:

  • Executive Decision-Maker: Run the CEO’s schedule proactively with minimal input, weighing priorities and making decisions based on business needs.
  • Calendar Management: Advance all meetings, resolve conflicts, proactively schedule new meetings, and respond quickly to last-minute changes.
  • Communication: Manage all scheduling requests and correspondence from internal and external parties, ensuring clarity and follow-through.
  • Local Austin Presence: Routinely visit our PO box, scan mail, and address items appropriately.
  • Loop Closure: Keep projects and tasks moving forward with 100% accuracy and follow-through.
  • Detail & Composure: Maintain calm under pressure, anticipate needs, and catch details that others miss.


Key Performance Indicators (KPIs)

  • Closed-Loops: How quickly can you pick up the phone after an email comes in to book an appointment? We track the day the request arrives, how many requests you’re managing, and how many loops are closed on a daily and weekly basis. Efficiency, accuracy, and responsiveness matter.
  • Attendees Preparedness & Show-Rates: Are you willing to consistently remind and prepare executives for upcoming meetings? You will execute a series of confirmation communications—phone calls, voicemails, voice memos, text messages, and emails—to ensure attendance. Last-minute reschedules are rare for you.
  • Decision-Making & Judgment: You can clearly and concisely communicate with the CEO about the reasoning behind your calendaring decisions. You weigh multiple priorities and confidently decide where the CEO should be based on business needs.
  • Reporting & SOP Development: You are comfortable providing the ROI on your desk. Scheduling can be complex, but time is the #1 fleeting resource. Your function is vital to the organization. You are reliable, communicative, and consistently memorialize feedback by creating SOPs and Best Practices in one live, on-demand location.
