Executive Assistant to the CEO
Reports to: Chief Executive Officer
Employment Type: Full-Time
Location: Remote. East Coast Time (ET) alignment is required. Preferred locations include New York, NY, Washington, DC, and Austin, TX. This role will occasionally require travel.
Salary Range: $70,000 – $85,000 annually, commensurate with experience
About the Role
We are looking for a highly organized, proactive Executive Assistant to provide dedicated support to our CEO. This is not a traditional gatekeeper role — we’re looking for someone who takes true ownership of the CEO’s time and attention. You will be the operational backbone behind how our CEO shows up every day: inbox zero is a standard, not a goal, and every calendar invite has a purpose.

This role operates within a publicly traded company environment. The Executive Assistant will be exposed to material non-public information (MNPI) and is expected to maintain the highest standards of confidentiality and discretion in accordance with securities laws and company compliance policies. Prior experience supporting executives at a public company is a strong plus.
Key Responsibilities
Inbox Management (Primary Focus)
- Own the CEO’s inbox end-to-end — triaging, flagging, filing, following up, and closing loops daily
- Apply a consistent, methodical system to ensure nothing falls through the cracks and the CEO’s attention is directed only to what requires it
- Draft and send responses on the CEO’s behalf with appropriate voice and judgment
- Identify and flag emails requiring direct CEO oversight, clearly surfacing context and recommended next steps so decisions can be made quickly
- Actively follow up with the CEO on flagged items to confirm they have been reviewed, actioned, or delegated — nothing gets lost in the handoff
- Maintain near-zero inbox at all times; create and enforce organizational systems (labels, folders, filters) that make this sustainable
Follow-Up Management
- Own all open follow-ups across email, meetings, and outstanding commitments — both inbound and outbound
- Maintain a living tracker of pending items, due dates, and responsible parties, proactively nudging internal and external stakeholders as needed
- Close loops on the CEO’s behalf where appropriate, and escalate when a response or decision is overdue
- Ensure no commitment, request, or time-sensitive thread goes unresolved
Calendar & Scheduling
- Manage a complex, fast-moving calendar across multiple time zones
- Schedule, confirm, and prepare the CEO for all meetings — including briefing documents and relevant context in advance
- Proactively protect focus time and anticipate scheduling conflicts before they arise
- Coordinate with internal teams and external stakeholders to align schedules efficiently
Public Company & Compliance Support
- Support logistics for board meetings, including preparation and distribution of board materials in coordination with the General Counsel or Chief of Staff
- Coordinate with the Investor Relations team on scheduling, communications, and materials as needed
- Handle all sensitive communications and documents with awareness of SEC disclosure obligations, quiet periods, and information barrier policies
- Exercise strict judgment around the handling of MNPI — knowing what to share, with whom, and when
Executive Support
- Prepare agendas, meeting notes, and follow-up action items
- Handle travel logistics including itineraries, accommodations, and ground transportation
- Manage competing priorities with poise, escalating when necessary
- Serve as a trusted point of contact between the CEO and internal/external stakeholders
What We’re Looking For
- 3–5 years of experience as an Executive Assistant, ideally supporting C-suite leadership
- Prior experience in a publicly traded company environment strongly preferred; familiarity with MNPI protocols, quiet periods, and board-level confidentiality is a meaningful advantage
- Demonstrated ability to manage a high-volume inbox with rigor and consistency — please be ready to describe your system in the interview
- Exceptional written communication skills; ability to write clearly and professionally on someone else’s behalf
- Strong judgment in distinguishing what can be handled independently versus what requires CEO attention
- High emotional intelligence and discretion — you will be privy to sensitive, market-moving information
- Strong command of calendar and email tools (Google Workspace or Microsoft 365)
- Calm under pressure, self-directed, and detail-obsessed
- Ability to anticipate needs before they’re voiced
Compensation & Benefits
The salary range for this role is $70,000 – $85,000 annually, commensurate with experience and qualifications. Final compensation will be determined based on the candidate’s background and the needs of the organization.
