A local government agency is seeking qualified applicants to fill an Office Specialist Position.
Seeking a customer-focused and highly organized Office Specialist to provide administrative support for our Public Works and Community and Economic Development Departments. This position serves as a key point of contact for residents, businesses, contractors, and developers, assisting with permits, applications, facility rentals, records management, and a variety of departmental programs and projects.
The ideal candidate will thrive in a fast-paced environment, enjoy working with the public, and have strong organizational, communication, and technology skills. This role offers a diverse workload that includes coordinating facility rentals, supporting land use and public works processes, preparing meeting materials for boards and commissions, assisting with grants and contracts, maintaining records, and helping ensure efficient day-to-day department operations. Candidate should be organized, detail-oriented, and enjoys working with the public while helping deliver essential services.
Minimum Requirements:
- High school diploma / GED
- Three (3) years' experience in an administrative, secretarial, or clerical position
- Expertise in Microsoft Office Suite, specifically Word and Excel
Preferred (Not Required):
- Experience with Adobe Pro
- Possession of or obtain within 90 days of employment a Notary Public Commission
- Knowledge of building construction or permit / license transactions
Job Duties:
- Provides customer service and performs administrative duties for the Public Works and Community and Economic Development Departments of substantial variety and complexity.
- Duties include assisting in preparation of bid documents, general filing, meeting notices and scheduling, preparation of reports and correspondence, coding departmental invoices, submit required advertisements, develop and maintain a document control system, assisting with grant proposals and other contracts or agreements.
- Responsible for advising customers on the procedure for renting and obtaining licenses or permits for the use of city facilities and associated fees.
- Courteously and effectively engage with employees and the public
- Apply standard office practices and procedures, basic knowledge of - English composition, spelling, and grammar

Wages, Hours and Benefits:
- Salary range is $49,255 to $64,266 per year; effective July 1, 2026, following adoption of the approved cost-of-living adjustment (COLA), depending on qualifications and experience.
