Title: Head of Logistics / Head of Operations

Reporting to: COO, US

Location: New York (other locations as required)

Hours: Monday – Friday 10am-6pm

Overview

This role has oversight of the logistics and storage within the NY and US working closely with the Senior Registrar with overall management of the NY warehouse and team as well as buildings and facilities for office and gallery. The role line manages the Operations Manager, Photographer and Technical Coordinator and will be charged with fostering a sense of accountability across all teams. Additional the role will be asked to work closely with the global teams to support process standardization, consistent standards and clear policies across regions

Main Responsibilities

Oversight

• Working closely with Senior Registrar keep oversight of all logistical movement of artworks across US and their installation in viewing rooms and the gallery.
• Responsible for oversight of all storage and installation costs across the US.
• Manage the artwork stock in our US storage facilities managing external relationships
• Ensure all operations reflect the highest levels of professionalism, accuracy, and care in the storage, handling, and movement of artworks.
• Oversee and coordinate permanent staff, flexible workforce pools, and temporary support to ensure the right level of resource at all times.

Warehouse & Storage

• Supervise storage facilities and inventory movement
• Ensure best practices in art handling, packing, and environmental standards
• Ensure that inventory is accurately updated, across artwork records and condition reports and works are photographed on schedule
• Oversight of twice yearly stock checks
• Champion effective communication and role‑model company values across all warehouse and logistics teams.

Buildings and Facilities

• Oversight of all repairs and maintenance for all buildings and offices.
• Work with Operations Manager to set yearly budgets and ensure that these budgets are delivered to.
• Ensure a review of all service providers is carried out annually or prior to contract end.
• Security, oversight of and cost approval, ot of hours building and security contact.
• Oversight of contractor selection, negotiating contracts and ensuring a high standard of service is delivered.
• Health and Safety, working with the Operations Manager manager oversight including exhibitions, technicians, office, external projects.
• Work with relevant contacts, including IT, Operations and external contractors, to make sure that offices and staff are furnished with working and appropriate equipment.
• Work with COO,US on larger scale building project for office and gallery as required.

Budget, Supply Chain & Risk Management

• Maintain comprehensive oversight of warehouse and operational expenditure and cost drivers, ensuring robust cost control and effective resource planning.
• Lead supplier and transport partner management to ensure reliability, accountability, and consistent service standards.
• Ensure all activities are delivered in full compliance with health and safety regulations, internal risk frameworks, and industry best practice.
• Maintain a safe, organised, and compliant working environments with strong oversight of risk‑mitigation measures.

Cross-Functional Collaboration

• Build strong, constructive relationships with Sales, Operations, Registrars, Client Services, and other key stakeholders to support seamless end‑to‑end operational processes.
• Act as the key representative for warehouse and logistics in cross‑departmental discussions, ensuring the function's voice and operational realities are reflected in wider business decisions.
• Collaborate with internal stakeholders to proactively resolve issues, streamline workflows, and support gallery-wide initiatives.

Salary

$110,000 – 130,000 per annum depending on experience plus bonus and excellent benefits
