Title: Senior Registrar
Reporting to: COO, US, dotted line to Global Head of Service Operations and Registrars
Location: New York (other locations as required)
Hours: Monday – Friday 10am-6pm
Overview
This role acts as the primary registrar for the New York gallery and office, co coordinating movements for the viewing rooms, exhibitions and post-sale shipments as well as handling shipping in relation to secondary market consignments. Working closely with the global Registrar team to support process standardization, consistent standards and clear shipping policy across regions
Main Responsibilities
New York Oversight
- Co-ordinate logistical movement of artworks and their installation in viewing rooms and the galleries.
- Monitor shipping costs incurred by New York.
- Develop and maintain a relationship with New York shipping companies
- Maintain working knowledge of installation and movement of works in New York as well as technical staff.
- Maintain regular communication with London Registrar team regarding cost effective shipments from London.
Clients Service and sold work shipments
- Act as point of contact for client after point of sale
- Provide clients with estimates post sale
- Arrange safe delivery of artworks in good time and confirm delivery post sale
- Ensure accurate and informed instruction is given with regards to handling, installation, care and maintenance of artworks
- Work with Technical department to arrange the installation of artworks at clients’ premises.
- Collate pre-sale estimates for Sales colleagues when requested
- Obtain all relevant documentation for movements of artworks
- Provide Accounts department with relevant customs documents for processing
- Instruct release of artworks from the storage facilities on confirmation of full payment from Finance or with the approval of the Finance Director
- Provide excellent client service at all times
Secondary Market
- Work alongside the Secondary Market Team to ensure that Secondary Consignment protocol is adhered to
- Liaise with Secondary Market Team (Coordinators and Technicians) to confirm time frames, shipping estimates, advise on customs and arrange Conservator Reports
- Act as point of contact for Secondary Market Team in New York
- Co‐ordinate local transport of artworks to the viewing rooms and storage
- Attend Secondary Team Meetings
Artist Studios & Consignments
- Liaise with SL/AL’s to organise consignment agreements for Artists’ studios
- Co-ordinate local and international transport of new artworks from Artists’ studios for consignment/ art fairs/exhibitions
- Instruct condition reporting for artworks and ensuring works are insured, checking and confirming packing and casing requirements
- Liaise with Legal and SL/AL’s to organise third party consignment agreements
- Raise invoices for third party sales
- Manage Artists’ inventory; undertake regular reports of on and off-site storage
- Liaise with the Exhibitions department to organise shipping schedules and deadlines
- Work with Fabrication to advice on issues from logistics perspective
- Act as point of contact for various ad hoc queries from clients, colleagues and institutions regarding artworks or artists
Art Fairs
- Coordinate Art Fair shipments as required
General
- Adhere to travel booking policy ensuring budget and company guidelines, book cars and couriers as requested
- Pass invoices for purchases made within 48 hours of receiving
Person Specification
- Significant professional experience in a Registrar or similar role (gallery or auction house experience desirable) with a focus on great client service
- Experience of working with primary and secondary market artworks
- Experience working directly with artists would be preferred
- Excellent eye for detail, patient, strong communicator internally and externally
Salary
$90,000 – 100,000 per annum depending on experience plus bonus and excellent benefits
