As an Administrative Assistant, you will be responsible for the following job duties:
- Manage the firm’s telephone switchboard, directing calls promptly and professionally
- Support client service activities including greeting visitors, preparing meeting materials, and managing incoming/outgoing mail
- Coordinate calendars, schedule appointments, reserve conference rooms, and support meeting logistics
- Assemble tax returns in both paper and electronic formats, ensuring accuracy and proper packaging
- Upload, organize, and maintain documents within the firm’s document management systems
- Process and monitor e file submissions, track acknowledgments, and flag any issues for follow up
- Assist with document preparation, formatting, editing, scanning, and organizing files
- Maintain office supplies, coordinate with vendors, and support general office operations
- Provide administrative support for internal communications, workflow tracking, and special projects as assigned
- Uphold confidentiality, professionalism, and WebsterRogers’ service standards in all responsibilities
- Prior administrative or office support experience preferred, preferably in a professional services environment
- Ability to commute daily to the downtown office and work 8:00 a.m.–5:00 p.m.
- Strong organizational, communication, and multitasking skills
- Proficiency with Microsoft Office; experience with document management systems is a plus
- Professional demeanor and strong customer-service orientation
- Ability to work independently and collaboratively
