We are seeking a highly organized and professional Front Office Administrator to join our team. The ideal candidate will be the first point of contact for visitors and clients, managing front desk operations with efficiency and courtesy. The Front Office Administrator will support daily office functions, coordinate appointments, and ensure smooth office operations to enhance overall productivity.
Duties
- Greet visitors and clients warmly, providing exceptional customer service
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Handle front desk responsibilities including check-in/check-out procedures
- Schedule and confirm appointments using calendar management tools
- Maintain accurate data entry and filing systems for records and correspondence
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks
- Perform clerical duties such as proofreading documents, managing emails, and preparing reports
- Support office management activities including supply inventory, filing, and organization of documents
- Assist with bookkeeping tasks such as invoicing and basic financial record keeping
- Provide customer support via phone, email, or in person with professionalism and courtesy
- Support personal assistant tasks as needed to facilitate executive or team needs
Requirements
- Proven experience in office management, administrative support, or clerical roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone etiquette and customer service skills
- Ability to manage multi-line phone systems and calendar scheduling effectively
- Bilingual abilities are preferred to assist diverse clientele
- Experience with data entry, filing systems, proofreading, and document management
- Knowledge of medical or dental receptionist duties is a plus but not required
- Personal assistant or office experience demonstrating reliability and professionalism is desirable
- Strong time management skills with the ability to prioritize tasks effectively
