Position Summary Information

Primary Purpose

Under the direct supervision of the Director of Operations and Collaboration the Pacific Health Care Collaborative, Sacramento supports and contributes to the mission of the International Dental Student Program and interprofessional education and practice by managing the clinic operations and support staff to ensure efficient and productive clinical education and services.

Essential Functions

  • Manage clinic operations and ensure standard operating procedures are carried out; actively seek out and drive process improvement, automation, and cost-efficient initiatives related to clinic operations; develop reports as needed to facilitate clinical operations.
  • Maximize patient satisfaction by managing and resolving patient concerns; ensure patients are seen on a timely and efficient basis; provide proposals and recommendations for process improvement and change.
  • Coordinate and optimize a high-volume patient intake process, including registration across all clinical areas (radiology, emergency, screening, oral surgery, and pediatric clinics); streamline patient flow in collaboration with clinical staff to ensure timely and efficient service delivery; partner with the billing manager to align front-end operations with revenue cycle processes and overall clinic efficiency.
  • Investigate matters relating to the administration of clinical services or their committees as assigned by the Associate Dean of Clinical Affairs or other clinical administrators; submit investigative findings with recommendations.
  • Manage patient intake and receptionist staff in all group practice areas; coach, lead, and mentor staff; manage work performance to include training, work distribution, performance appraisals, adherence to clinic policies and procedures, work schedule and commendation or disciplinary procedures; conduct regular staff meetings.
  • Oversee end-to-end procurement and inventory management for pre-clinical and clinical operations, including sourcing, vendor & contracts negotiation, purchasing, and distribution of supplies and equipment; collaborate with faculty, staff, and departments to align materials with curriculum and patient care needs while ensuring compliance with institutional policies and healthcare standards.
  • Monitor budgets, track expenditures, and maintain accurate procurement records; forecast demand, optimize inventory levels, and implement process improvements to enhance efficiency, control costs, support equipment lifecycle planning, and ensure timely fulfillment of routine and urgent operational needs.
  • Manage internal and external student rotation scheduling.
  • Coordinate state and regional licensure boards with school calendar; organize staff and prepare for onsite examinations; provide general information to outside candidates.
  • Serve as a clinic liaison with administration, faculty, staff, and internal and external auditors.
  • Create and supervise customer service training programs for students and clinical staff.
  • Actively engage cultural competency initiatives within the Dental School.
  • Periodic weekend work is required to support operations.
  • Perform all other duties as assigned by the Director of Integrated Clinical Dentistry at the Pacific Health Care Collaborative .

Minimum Qualifications

  • High school diploma or equivalent.
  • Advance knowledge of Microsoft 365.
  • Five (5) years office management experience.
  • Two (2) years experience with Accounting/billing procedures.
  • Two (2) years supervisory experience required.
  • Two (2) years experience in a dental practice, public or private.

Preferred Qualifications

  • Bachelor’s degree in Business Administration or related field desirable
  • Clinical database systems ; axiUm and or Epic software.
  • Dental terminology and general principles of dental practice.
  • Principles of management and supervision.
  • Principles of business communication, including interpersonal interactions, and letter, and report writing.
  • Produce professional and concise reports and written correspondence.
  • Analyze financial reports and make appropriate recommendations.
  • Exercise autonomous judgment and discretion with sensitive/confidential information.
  • Maintain confidentiality of information
  • Work independently with minimal supervision.
  • Provide effective leadership, training, and supervision.
  • Demonstrate professional judgment in all situations.
  • Bilingual skills.
  • Effectively manage projects and deadlines.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

This is an in-person role, and the successful candidate must be willing to relocate within California, preferably within 25 miles of the Sacramento Pacific campus.

Requires extended periods of sitting and repetitive hand/wrist motion while using a computer keyboard and phone. Occasional standing, walking, climbing stairs, bending, stooping, and reaching. Occasional lifting up to 30 pounds.

Work is performed during standard hours; Additional hours may be required to meet business needs or deadlines.

Hiring Range $73,710 - $101,362 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer. Background Check Statement
