The University of South Alabama’s Sociology and Anthropology department is seeking to hire a Secretary V. Interested candidates should apply to be considered.
Essential Functions
- Performs a variety of secretarial and administrative duties to include interpretation routine rules, regulations and policies to university officials and the public.
- Prepares special reports and performs special assignments.
- Participates in varying degrees in organizational and program matters utilizing an extensive knowledge of the Chair’s jurisdiction, policies and views and may supervise clerical positions in the immediate office.
- Performs work with a considerable amount of independence and is reviewed upon completion for compliance to applicable rules, policies, regulations or instructions.
- Navigates various University database platforms to include Banner, PAWS and Concur to retrieve data, process financial transactions and initiate personnel action requests.
- Serves as a personal assistant to the Chair of the Department on tasks of broad scope and complexity.
- Plans, initiates and carries to completion secretarial, clerical and administrative activities to include purchasing of supplies, furniture and equipment, etc.
- Maintains confidential personnel records, assists with special projects and events, ensures compliance with various University policies, and assists students with course overrides, program changes and other requests.
- Assists the Chair with administration and management of departmental budgets and monthly funds reconciliation.
- Assists the Chair and faculty with annual faculty review process and departmental annual report to the Dean.
- Assists departmental faculty with purchases and routine administrative needs related to sponsored projects, events, and travel.
- Assists the department Chair and committees with administrative duties related to searches for faculty members.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
- Related duties as required.
