The University of South Alabama’s Mitchell College of Business Management department is seeking to hire a Secretary V. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
- Works closely and collaboratively with the Department of Management Chair, Associate Dean, and Dean as the primary assistant.
- Prepares correspondence, reports and other documents using a PC.
- Utilizes Banner and other university systems to access departmental and college records, enters departmental and college course offerings each semester, schedules meeting space for events, etc.
- Works with the Dean’s Office regarding budgetary issues including the purchase of office equipment, furniture, supplies, etc.
- Assists with contracts and appointments of part-time faculty.
- Supports and assists with departmental and college events, as needed.
- Participates in varying degrees in organizational and program matters, utilizing an extensive knowledge of the college’s jurisdiction, policies, and views.
- Interacts with faculty, staff, students and guests via telephone, email, letter and face-to-face.
- Promotes a welcoming, inclusive environment.
- Maintains departmental and some college files.
- Plans, initiates, and carries to completion secretarial, clerical, and administrative activities.
- Makes arrangements for conferences including space, time, and place.
- Serves as recording secretary at council and committee meetings or conferences taking official minutes.
- Prepares minutes of meetings in final form for distribution.
- Independently researches and prepares highly technical, confidential, or complex reports for the supervisor’s review and information.
- Supports departmental and college faculty (both full-time and part-time).
- Answers telephone and directs calls.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
- Related duties as required.
