This role ensures smooth daily operations, oversees staff, manages budgets, and supports departmental initiatives in wellness, marketing, and customer service.
Job Functions
Operations and Front Desk Management
- Hire, train, schedule, and evaluate Member Services staff
- Maintain and update the Member Services Standard Operating Procedures manual.
- Reconcile payroll and manage the Member Services budget.
- Purchase and manage inventory relevant to student needs.
- Maintain and troubleshoot the ActiveNet point-of-sale (POS) system.
- Oversee merchandise inventory and sales; research and introduce new items.
- Maintain all front desk technology and coordinate with IT for issues.
- Assist with locker management and related concerns.
- Maintain PCI DSS certification and ensure desk staff are certified.
- Establishing and following proper cash and check handling procedures.
- Reconcile POS and vending massage chair sales weekly with Operations Assistant Director
- Oversee refunds and other monetary transactions.
- Manage budgets within SG and Auxiliary accounts.
- Monitor POS revenue goals and attend budget meetings.
- Develop and maintain policies for Member Services operations including check-in verification, membership/locker rental and merchandise sales, as well as day-to-day tasks
- Contribute to department-wide marketing and promotional policy discussions.
- Monitor membership trends and advise on growth and development strategies.
- Oversee scheduling for group fitness rooms.
- Coordinate facility use for outside groups and special events.
- Manage accident/incident reports as reported by Member Services Staff
- Schedule SWC rentals via the Event Management System (EMS).
- Collaborate with the Director of Operations on EMS settings and policies.
- Support other RecWell check-in desks (e.g., Field House, Eco Adventure).
- Collect stats and comply with Department reporting requirements
- Participate in departmental committees and staff development initiatives.
- Design and distribute marketing materials for the SWC (flyers, brochures, schedules).
- Assist RecWell Department webmaster with website and ensure accessibility compliance.
- Approve and manage SWC bulletin board postings
- Oversee the SWC Channel and develop sponsorship opportunities
- Oversee department golf cart use and maintenance schedule
- Assist with special projects and departmental tasks as assigned.
- Ability to type 40 words per minute.
- Strong organizational, communication, and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite, especially Excel.
- Willingness to work evenings and weekends.
- Experience with budgeting, financial tracking software, and current UNF systems is a plus.

- General supervision. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments.
- As part of this role, the individual will be expected to actively participate in various department staff meetings and committees. This includes being available to attend committee meetings, contribute to discussions, and coll borate with colleagues to achieve the committee's objectives. The individual should demonstrate a commitment to the department's goals and be willing to dedicate time and effort to support committee activities.
