During this time,the OperationsAssistantwill be the main point of contact for those onsite users who may need assistance.
Here’s How You’ll Have An Impact
- Answer the front desk phone and direct inquiries to the appropriate department. Take messages and distribute them to the appropriate person.
- Offer support and respond to inquiries and requests for information from athletes, coaches, NGBs, visitors, and staff.
- Attend to questions and requests by onsite users.
- Retrieve and sort incoming mail and packages for onsite users.
- Data Management (programming incoming athlete cards, putting programs together on CRM database):
- Register all training center guests, including verifying signatures on all forms via online paperwork system and verifying participants are at least 18 years old, making sure that birthdates are present on paperwork to avoid duplicating records in the CRM database, verifying SafeSport completion dates are entered when applicable, issuing ID cards to all guests residing in athlete center,andgiving informative orientation on policies and procedures for the LPOPTC.
- Enter all biographical data on all individuals that come through the training center into the CRM computer system. Accuracy is of utmost importance in that many USOPC departments use this information as a main resource for reports and mailings. Adjust rooming assignments and add unexpected program participants in the CRM system to programs through the direction of Operations team.
- Submit maintenance requests to Akita Box online portal and notify respected department of requests.
- Monitor and operate fire alarm system and investigate alarms as indicated by Security.
- Assist all onsite users during emergency evacuation procedures and coordinate with first responder personnel, as necessary.
- Contact transportation, either by land line, mobile phone, or email to coordinate any adjustments or new requests for the arrival/departure schedule. These changes can affect the size of the vehicle that is required for a particular run.
- Monitor access to meeting rooms and gymnasium after hours.
- Provide guest support or duplicate dorm room keys when a guest is locked out.
- Contact Sports Medicine in the event of emergency, following established procedures.
- Monitor participant behavior in the lobby and residence hall and report any concerns to the staff on call and LPOPTC Director.
- Make sound decisions based on immediate circumstances. Report critical incidents to Assistant Manager of Operations, Resident Athlete Coordinator, and Director.
- Upon a guest checking out, perform the necessary admin check out procedures (i.e. deactivating cards, OPTC1 program check-out).
- Assist theLPOPTC Director and/orManager of Operations with projects as assigned.
- Perform other duties as assigned.
- High school diploma or equivalent
- Prior experience in a sport-related field, preferably in a service-related position
- Strong verbal communication skills
- Ability to interact and collaborate with a variety of individuals at all levels and from all backgrounds
- Ability to maintain a professional demeanor in all situations
- Standard office equipment
- Non-traditional work hours including evenings and weekends
- Periods of prolonged sitting
- Extended hours working without direct supervision
- Regular attendance at work is an essential job function
