We're looking for a detail-driven Administrative Assistant to support daily operations for a leading local construction company. The ideal candidate has hands-on experience using Viewpoint (Trimble Viewpoint) software and a strong understanding of construction documentation, scheduling support, and administrative coordination. This role is essential to keeping projects organized, communication flowing, and documentation accurate throughout all phases of the project.
Job Title: Construction Administrative Assistant
Location: Lake Oswego, OR
Pay: $22-$27/hour DOE
Key Responsibilities:
- Provide administrative support to project managers, superintendents, and field teams
- Enter and maintain accurate project information in Viewpoint (Trimble), including job details, subcontractor records, and updated project notes
- Prepare, track, and organize construction documents such as submittals, RFIs, drawings, change orders, and project logs
- Coordinate project schedules, meetings, agendas, and follow-ups for internal teams and subcontractors
- Assist with subcontractor onboarding, collecting compliance documents, COIs, safety paperwork, and required forms
- Maintain organized digital and physical filing systems for all project documentation
- Support communication between internal teams, vendors, and subcontractors to ensure timely updates and smooth workflows
- Assist with site logistics coordination, including deliveries, material tracking, and distributing updated plans or documents
- Provide general office support including answering phones, drafting correspondence, ordering supplies, and organizing shared spaces
Qualifications:
- 2 years of administrative experience within the construction industry required
- Proficiency with Viewpoint / Trimble Viewpoint software is required
- Strong working knowledge of construction workflows, terminology, and documentation
- Excellent communication and interpersonal skills
- Highly organized, detail-oriented, and able to manage multiple priorities
- Proficient with Microsoft Office (Outlook, Word, Excel)
- Reliable, proactive, and able to work both independently and within a team
