All products are proudly made in America at our headquarters in Peoria, Arizona.
Acting as a force multiplier, the position moves beyond traditional administrative support to manage complex projects, prioritize critical business objectives, and drive operational efficiency across the organization. Serving as a trusted gatekeeper, this role is responsible for the strategic management of the President’s calendar, communications, global travel and key project deadlines. In addition, the position coordinates schedules and workflows in support of the Vice President of Administration, with a particular focus on procurement and business development.

Key Responsibilities:
Strategic Support & Coordination
- Manage calendars, including scheduling meetings, conferences, appointments, and domestic and international travel logistics
- Anticipate the President’s needs and priorities, providing hands-on support to execute strategic initiatives, including drafting correspondence, and tracking deadlines and deliverables.
- Serve as a primary point of contact between the President and internal/external stakeholders, ensuring clear, timely, and professional communication.
- Review, route, and compose communications on behalf of the President and senior leadership with a high degree of accuracy and discretion.
- Conduct research and prepare analyses to support decision-making.
- Maintain organized records and document management systems to ensure easy retrieval and compliance with file management protocols.
- Assist with public relations activities in collaboration with Marketing.
- Respond effectively to urgent requests and adapt quickly to unforeseen situations, exercising sound judgment and confidentiality.
Operational Execution
- Track priorities, action items, and follow-ups to drive execution and accountability.
- Maintain structure and organization across a high volume of tasks and deliverables.
- Prepare the President for meetings by organizing agendas, materials, and key briefing information.
- Coordinate meetings, travel, and logistics with precision and attention to detail.
Communication & Documentation
- Manage incoming communications (email, calls, documents) and prioritize effectively.
- Draft, edit, and format correspondence, reports, and presentations on behalf of the President.
- Ensure information is accurate, organized, and accessible when needed.

Qualifications:
- 2 years of experience supporting senior executives, operating in a high-performance demanding environment.
- Strong organizational and time management skills, with the ability to prioritize and execute efficiently.

Education / Experience:
- Bachelor’s degree or equivalent professional experience.

- Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Proven ability to manage complex calendars and coordinate domestic/international travel logistics.
- Exceptional written and verbal communication skills with a focus on professional etiquette.
- Experience working in a fast-paced environment with the ability to pivot priorities quickly.
Working Environment:
This is an in-person position based at our Peoria, Arizona headquarters, requiring daily on-site presence to support collaboration, communication, and team effectiveness.
