Job Summary
The Front Desk Coordinator in the Office of the Dean serves as the primary point of contact for students, faculty, staff, and visitors, ensuring a welcoming and professional environment. This role is responsible for managing front desk operations, including greeting guests, directing inquiries, coordinating communications, and providing administrative support to facilitate the efficient functioning of the Dean’s Office.
Essential Job Duties
- Manage and coordinate day-to-day office operations and procedures.
- Provide primary telephone communications and deliver excellent customer service to internal and external constituents and visitors.
- Order office supplies, maintain inventory, distribute mail, and copy documents as needed. Manage and maintain contracts with office vendors (e.g., copier services) and other service providers.
- Organize and schedule meetings and appointments as designated.
- Maintain meeting minutes and other confidential documents related to the office.
- Maintain a log of all checks received from Accounts Payable and ensure proper distribution or mailing.
- Assist in updating the faculty and staff database/directory.
- Supervise work-study students assigned to the Dean’s Office.
- Process student contracts and payroll for the college.
- Coordinate incoming and outgoing mail and deliveries.
- Support event planning and logistics for meetings, seminars, and special functions.
- Serve as a liaison between Dean’s Office and other departments within the college. Perform other duties as assigned
Qualifications (Education, Experience and Specialized Training)
- Minimum of 2 years of college or 2 years of experience in a business-related field.
- Experience in computer-based programs (Excel, Microsoft Word, spreadsheets, database software, etc.)
Physical Demands
- Ability to operate standard office equipment
- Ability to walk short distances
- Ability to lift and carry parcels, packages and other items
- Ability to view a computer terminal
