CORE RESPONSIBILITIES
- Oversee complex scheduling, travel arrangements, and meeting coordination for senior leadership
- Act as a primary liaison for both internal teams and external contacts
- Draft, revise, and proofread a variety of formal documents with attention to detail
- Maintain organized document systems and ensure proper version control
- Support onboarding processes, including intake, conflict checks, and engagement documentation
- Assist with financial workflows such as billing preparation, invoice review, and expense processing
- Monitor deadlines and provide support with formal filings and documentation processes
- Coordinate external proceedings, information requests, and related administrative tasks
- Perform research and communicate with relevant external offices or agencies as needed
- Track professional development requirements and reporting
- Maintain daily activity logs and task tracking systems
- Help improve operational efficiency through templates, checklists, and workflow enhancements
- Independently manage responsibilities during periods when leadership is unavailable or traveling
REQUIRED QUALIFICATIONS
- 5 years of administrative experience in a professional services environment (significantly more preferred)
- Strong experience supporting complex case or project workflows
- Background in a large, fast-paced organization preferred
- Bachelor’s degree required
- Familiarity with formal filing processes and procedural requirements
- Understanding of industry-specific terminology and processes
- Advanced proficiency in Microsoft Office Suite and document management tools
- Experience with financial tracking, billing, and expense systems
- Demonstrated ability to manage competing priorities and complex scheduling
- Highly self-directed with the ability to anticipate needs and act proactively
- Strong judgment, discretion, and professionalism
- Confident communicator capable of supporting senior stakeholders
PREFERRED QUALIFICATIONS
- Experience with document management and workflow systems (e.g., enterprise platforms for document storage, intake, and billing)
