We are seeking an exceptional HR Assistant / Leadership Assistant who is highly organized, proactive, professional, and capable of supporting both the Human Resources Department and Executive Leadership.
This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and can manage multiple priorities while maintaining the highest level of confidentiality and professionalism.
Essential ResponsibilitiesHuman Resources
- Coordinate recruitment efforts, interview scheduling, and applicant communications.
- Assist with employee onboarding, orientation, and new hire paperwork.
- Maintain confidential employee personnel files and HR records.
- Track employee licenses, certifications, compliance, and required training.
- Prepare employment documents, disciplinary notices, performance documentation, and HR correspondence.
- Assist with payroll-related documentation and personnel changes.
- Ensure compliance with company policies and applicable employment regulations.
Leadership Support
- Provide direct administrative support to executive leadership.
- Manage executive calendars, appointments, and meeting schedules.
- Prepare professional correspondence, reports, presentations, and meeting minutes.
- Coordinate executive meetings, trainings, and special projects.
- Assist in implementing organizational initiatives and leadership directives.
- Monitor project deadlines and follow up with department leaders regarding outstanding assignments.
- Maintain strict confidentiality regarding executive, employee, and organizational matters.
- Serve as a professional point of contact for internal staff, vendors, and external partners.
- Help coordinate company events, trainings, and leadership meetings.
- Perform additional administrative duties as assigned by Executive Leadership.
Qualifications
- Associate's degree preferred (Bachelor's degree is a plus).
- Previous experience in Human Resources, Executive Administration, or Office Management preferred.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Exceptional attention to detail.
- Ability to work independently while managing multiple priorities.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office and Google Workspace.
- Strong customer service and interpersonal skills.
Schedule
- Monday–Friday
- 8:00 AM – 5:00 PM
- Occasional Saturdays for meetings, training, or special events.
