Administrative Accounting AssistantThe Administrative Accounting Assistant provides a blend of administrative and accounting support to ensure the smooth functioning of the corporate office and the accounting department. This role is ideal for someone early in their career who is organized, proactive, and eager to grow in a real estate development and investment environment. The position reports directly to the Controller and interacts regularly with project teams, property management, and outside vendors.Key Responsibilities:Administrative SupportCreate, organize, and maintain electronic and physical filing systems.Sort, open, and distribute incoming mail; prepare outgoing mail and packages.Assist with general office tasks including scanning, photocopying, printing, and document preparation.Support the onboarding and updating of vendor files, W‐9s, insurance certificates, and internal documentation.Coordinate document requests between departments and external partners.Provide general administrative support to the accounting and operations teams as needed.Accounting SupportEnter invoices, payments, and financial data into accounting software with accuracy.Assist with Accounts Payable (AP) processing, including invoice coding, statement reconciliation, and vendor communication.Support Accounts Receivable (AR) activities, such as posting payments and monitoring outstanding balances.Track and update the tax planning schedule and assist with gathering materials needed for tax filings.Maintain records related to the company’s registered agent and statutory compliance documents.Manage and update the Client Portal, ensuring documents and information are current.Provide support during month-end close, audits, and year-end reporting.Assist with expense reports, credit card reconciliations, and basic bookkeeping tasks.Qualifications1–5 years of experience in an administrative, accounting, or bookkeeping support role.Associate’s degree required; Bachelor’s degree preferred.Familiarity with AP/AR processes and accounting software.Strong organizational skills and excellent attention to detail.Ability to manage multiple tasks and deadlines in a fast-paced environment.Proficiency in Microsoft Office Suite.Strong communication skills and a professional, team-oriented attitude.Interest in real estate, finance, or property development is a plus.
Salary : $45,000 - $60,000
