Donor Recruitment Administrative Assistant
Tulsa, OK | Part-Time | Monday–Friday up to 30 hours a week
Pay: $17–$20/hour
We are currently seeking a professional, detail-oriented Donor Recruitment Administrative Assistant to support the Donor Recruitment department and Account Consultants in a fast-paced office environment. This position is ideal for someone who enjoys administrative support, customer service, organization, and working behind the scenes to help operations run smoothly.
This is primarily an office-based role working approximately 25–30 hours per week, Monday through Friday. The ideal candidate will be comfortable working with computers, managing multiple priorities, and communicating professionally with donors, staff, and community partners.
Primary Responsibilities
- Answer and route incoming phone calls to appropriate staff members and departments
- Prepare reports, documents, correspondence, and letters as requested
- Distribute incoming and outgoing mail daily
- Maintain adequate inventory of office supplies and pre-printed materials; place supply orders as needed
- Copy, scan, fax, and organize documents and materials
- Provide administrative support to Account Consultants and the Donor Recruitment team
- Assist with additional duties and special projects as assigned
Secondary Responsibilities
- Provide backup support for other departmental functions as needed
- Assist with overflow tasks and departmental coverage during staff absences
Qualifications & Requirements
- High School Diploma, GED, or official transcript required
- Must be at least 21 years of age (for insurance purposes)
- Valid driver’s license required
- Must have a clean Motor Vehicle Report (MVR) with:
- Zero points
- No moving or traffic violations within the past 3 years
- Comfortable driving a company vehicle when necessary
- Strong working knowledge of Microsoft Office, including:
- Word
- Excel
- Outlook
- Excellent proofreading and attention-to-detail skills
- Strong communication, organizational, and multitasking abilities
- Ability to demonstrate critical thinking skills when interacting with donors and internal staff
- Professional demeanor with strong customer service skills
Preferred Qualities
- Self-motivated and dependable
- Ability to prioritize tasks in a busy office environment
- Comfortable learning new systems and processes
- Team-oriented with a positive attitude
