Job Title: Medical Front Office Assistant / Scheduler
Location: Oklahoma City, OK

Schedule: Monday to Friday, 8:30 AM to 5:00 PM
Hours: 30 per week
Pay Rate: $18 to $20 per hour, based on experience
Position Overview:
We are seeking a friendly, organized, and detail-oriented Medical Front Office Assistant / Scheduler to join our team at a busy and well-established outpatient clinic. This role serves as the primary scheduling coordinator while also supporting front office operations to ensure a smooth and welcoming patient experience from check-in through check-out.
Key Responsibilities:
- Serve as the primary scheduler for all patient appointments, including hospital discharge follow-ups
- Maintain provider schedules up to one month in advance
- Coordinate appointment rescheduling for providers as needed
- Contact new patients to confirm upcoming appointments
- Greet and check in patients in a professional and courteous manner
- Answer and manage inbound and outbound calls, addressing patient inquiries
- Verify insurance and collect copays when applicable
- Update patient information in the EPIC electronic medical record system
- Coordinate referrals and authorizations
- Float to front office areas such as check-in and check-out when needed
- Collaborate with staff to ensure efficient daily operations
Financial and Operational Responsibilities:
- Follow office procedures to support efficiency and cost-effective operations
- Ensure proper approvals for any applicable expenses
Customer Service Expectations:
- Provide a positive, professional, and patient-focused experience at all times
- Communicate clearly with patients, staff, and providers
- Maintain strict confidentiality of patient and clinic information
Qualifications:
- High School Diploma or equivalent
- 2 to 4 years of experience in a medical office setting required
- Previous front office, scheduling, or administrative experience preferred
- EPIC experience is required
Skills and Competencies:

- Ability to multitask and stay organized in a fast-paced environment
- Scheduling, coordination, and problem-solving abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook)

Physical Requirements:
- Frequent sitting, typing, and phone use
- Occasional standing, walking, bending, and reaching
- Ability to lift up to 25 pounds as needed
- Visual ability for computer work and patient interaction
Work Environment:

- Moderate noise level with frequent interaction with patients and staff

* Prepare correspondence or assist physicians or medical scientists with preparation of reports, speeches, articles, or conference proceedings.
* Arrange hospital admissions for patients.
* Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.
