We are looking for an Administrative Assistant for our Business Office. Be an integral member of the Business Office by using your organizational, time management and communication skills to enhance a productive, professional, collaborative and professional team. In this role you will support the Chief Financial Officer, other members of the Business Office, Director of Campus Operations, and the Campus Operations department. This is a full-time (12-month) position that starts immediately.
General Responsibilities
- Provides administrative and clerical support for the Business Office which includes the Chief Financial Officer(CFO) and Director of Campus Operations
- Assist with providing support to the members of the Business Office, Facilities/Maintenance Manager and Campus Operations department
- Assist with special projects as needed
- Point of contact for shipping and receiving and assist with campus shipping needs including receive, sign and label packages from carrier companies (Fed Ex, UPS, etc.); proficient in the operation of the postage system and provide training to limited users as needed; assist with the distribution of large shipments to the campus
- In conjunction with the Facilities/Maintenance Manager schedule and greet vendors and assist walk-up individuals
- Oversee and orchestrate the SchoolDude system institution-wide and provide training to campus staff
- Coordinate moving requests that require outside moving company
- Schedule HVAC campus-wide and evaluate temporary override adjustments
- Manage vendors as directed
- In conjunction with the Facilities/Maintenance Manager, manage and route maintenance-related requests to appropriate support services
- Provide professional business communication, including email etiquette, low email response time, etc.
- Handle confidential documents and information with discretion and professionalism
- Manage the CFO’s calendar, schedule meetings, and coordinate travel arrangements
- Conduct filing and invoicing for Campus Operations office
- Manage obtaining Certificate of Insurance for vendors
- Ensure office supplies for Business office and Campus Operations office are in stock and readily available
- Keep Material Safety Data Sheet Book up-to-date
- Provide research expertise and assist with procurement as requested
- Any other tasks requested by the CFO, Director of Campus Operations or their designee

Experience and Qualifications:
- Education: Associate or bachelor’s degree preferred; experience may be substituted
- Experience: 3 years of administrative experience supporting executives, preferably in finance or accounting
- Skills:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Strong written and verbal communication skills
- High degree of professionalism and discretion
- Excellent time management and organizational skills
- Ability to work independently and under pressure
- Familiarity with financial documents and terminology a plus
