Document Control Specialist I

Position Summary:
The Document Control Specialist I will be responsible for providing document control support to engineering and construction project teams. This includes managing project documentation, ensuring compliance with record-keeping standards, and supporting the overall document lifecycle from design through close-out.
Key Responsibilities:
- Collaborate with engineering teams to ensure compliance with internal document control procedures and standards.
- Process and manage various engineering and project records including drawings, manuals, ECNs, correspondence, and transmittals.
- Maintain and update electronic document databases for tracking, transmitting, and distributing project documentation.
- Assign and manage document numbers in accordance with internal naming conventions (e.g., wiring diagrams, P&IDs, circuits).
- Conduct audits of records for accuracy and completeness, and assist with the implementation of corrective actions.
- Provide printed documentation to project teams and Plant Document Control at various stages of the project lifecycle.
- Participate in daily, weekly, and monthly reviews by reporting on document control activities.
- Assist in updating and maintaining internal document control procedures.
Essential Qualifications:
- High School Diploma or equivalent.
- 2–4 years of experience in document control, records management, or related roles.
- Experience with electronic document management systems such as ProjectWise, Primavera Unifier, CM14, or Prolog.
- Proficiency in tools such as Adobe Acrobat Pro and Microsoft Office Suite.
- Strong organizational and communication skills with the ability to multitask effectively.
- Comfortable working independently as well as collaboratively within a team environment.
- Ability to interface professionally with internal departments, engineering teams, and plant personnel.
- Physically capable of transporting large print documents (e.g., blueprints) as needed.
- Knowledge of plotter and scanner operations; responsible for maintaining plotter supplies and troubleshooting minor issues with IT support.
Preferred Skills:
- Background in administrative, clerical, or technical drawing/document control—preferably within a utility, engineering, or construction environment.
- Coursework or an associate degree in Information Science, Data Processing, or a related field.
- Experience managing engineering drawing documentation and control systems.
