About the Role
The Administrative Assistant IV provides high-level administrative support to senior leaders within a global enterprise sales organization. This role is responsible for managing executive calendars, coordinating domestic and international travel, handling expense reporting, organizing meetings and events, and ensuring smooth day-to-day business operations in a fast-paced, technology-driven environment.
Location: Bellevue, Washington, United States (Primarily Remote)
Responsibilities
Executive Calendar Management
- Manage complex calendars for senior executives across multiple time zones.
- Coordinate meetings while aligning schedules with organizational priorities.
- Resolve scheduling conflicts and maintain calendar accuracy.
- Prioritize executive commitments and business activities.
- Coordinate availability with internal and external stakeholders.
- Ensure seamless scheduling for leadership teams.
Travel & Expense Management
- Arrange domestic and international business travel.
- Coordinate flights, accommodations, ground transportation, and travel logistics.
- Assist with visa documentation and travel requirements.
- Prepare, review, and submit executive expense reports.
- Review invoices and financial documentation for accuracy.
- Adapt travel arrangements quickly when schedules change.
Administrative Operations
- Provide comprehensive administrative support to senior leadership.
- Maintain confidential records and business documentation.
- Manage incoming correspondence, reports, and submissions.
- Order office supplies and support operational needs.
- Perform basic bookkeeping and administrative record management.
- Handle sensitive information with professionalism and discretion.
Meeting & Event Coordination
- Prepare meeting agendas and supporting materials.
- Schedule conference calls and virtual meetings.
- Coordinate meeting logistics and room arrangements.
- Organize off-site meetings and executive events.
- Coordinate catering and event support services.
- Ensure meetings are executed efficiently and professionally.
Cross-Functional Support
- Collaborate with global teams across multiple business functions.
- Support enterprise sales leadership initiatives.
- Communicate effectively with executives and key stakeholders.
- Assist with business administration projects.
- Manage multiple priorities while meeting deadlines.
- Contribute to continuous operational efficiency improvements.
Requirements
Required Qualifications
- High school diploma or GED.
- 8–10 years of administrative or executive administrative experience.
- Extensive experience supporting senior executives.
- Strong calendar management experience.
- Experience with expense reporting and business administration.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Advanced Microsoft Excel skills, including VLOOKUPs and Pivot Tables.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Exceptional attention to detail.
- Ability to work independently and manage competing priorities.
- Strong problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
Preferred Qualifications
- Experience supporting Microsoft executives or enterprise-level leadership teams.
