We are looking for an organized, detail-oriented, and computer-proficient Parts Representative to join our team. This is primarily an inside, behind-the-scenes position that plays an important role in keeping our Service Department organized, our technicians productive, and customer repairs moving efficiently through the shop.
The Position
The Parts & Service Representative will serve as an important link between our Service Writer, Parts Department, and Service Technicians.
When a technician determines that a repair requires parts, you'll help identify the correct components, place and track the order, receive the parts when they arrive, and make sure they are properly assigned to the correct repair or work order.
You'll also communicate parts usage and costs back to the Service Writer, helping ensure customer work orders and invoices accurately reflect the parts used during each repair.
A significant portion of this position is computer-based. Maine Tractor Company represents multiple equipment manufacturers, each with its own electronic parts catalogs, ordering systems, dealer portals, and processes. The right candidate should be comfortable working on a computer, learning different software systems, and moving between multiple programs throughout the day.
Key Responsibilities
- Receive parts requests from Service Technicians and the Service Department
- Research and identify correct parts using OEM electronic parts catalogs, diagrams, and manufacturer resources
- Place parts orders through multiple manufacturer dealer portals and DMS systems
- Track outstanding orders, special orders, and backordered components
- Receive incoming parts shipments and verify orders for accuracy
- Properly stock, organize, and maintain parts inventory
- Assign received parts to the appropriate customer, technician, or work order
- Maintain accurate records of parts ordered, received, and used
- Communicate parts costs and usage to the Service Writer for accurate customer billing
- Help ensure technicians have the parts needed to complete repairs efficiently
- Process and organize special-order parts
- Assist with physical inventory counts and inventory accuracy
- Communicate with manufacturers and vendors regarding availability, orders, backorders, and discrepancies
- Help maintain a clean and organized parts storage area
- Work closely with the Parts, Service, and Technician teams to keep repair jobs moving through the shop
What We're Looking For
The ideal candidate is someone who is organized, detail-oriented, comfortable with computers, and a strong communicator.
Previous tractor or equipment experience is helpful, but it isn't necessarily required. Mechanical knowledge and familiarity with parts are certainly valuable, but we're also interested in candidates who have the ability and willingness to learn.
More importantly, you need to be comfortable managing multiple moving pieces. On any given day, you may be working with several technicians, multiple repair orders, incoming shipments, backordered components, and different manufacturer ordering systems.
The ability to stay organized and follow an order from the initial technician request through ordering, receiving, stocking, and final billing will be an important part of succeeding in this position.
Qualifications
- Strong computer skills and the ability to quickly learn new software
- Excellent organizational and record-keeping skills
- Strong attention to detail and follow-through
- Good written and verbal communication skills
- Ability to manage multiple orders and priorities simultaneously
- Comfortable working independently while contributing to a larger team
- Ability to learn OEM parts catalogs, diagrams, and ordering systems
- Previous experience in a dealership, parts department, service department, automotive shop, equipment business, warehouse, or similar environment is preferred but not required
- Familiarity with tractors, mowers, small engines, automotive parts, or mechanical equipment is a plus
- Previous experience with a Dealer Management System (DMS) or inventory management software is a plus
- Dependable, professional, and willing to learn
