Position Summary:
TN Ward Company is seeking a dependable and detail-oriented Administrative Assistant to support operations at our Atlantic City office. This role plays a key part in supporting our construction team through contract administration, accounts payable processing, and general office coordination. The ideal candidate is organized, proactive, and comfortable working in a fast-paced construction environment.
Key Responsibilities:
- Answer and direct incoming calls, providing professional communication with clients, vendors, and internal staff
- Assist with contract administration, including preparing subcontracts, tracking compliance documents (insurance certificates, W-9s, etc.), and maintaining contract files
- Process accounts payable, including coding and entering invoices, verifying approvals, and coordinating with the accounting team
- Maintain organized project and office filing systems (digital and physical), ensuring documentation is accurate and up to date
- Support project managers and field staff with administrative tasks as needed
- Track and manage incoming/outgoing project documentation
- Assist with data entry in construction management and accounting systems (e.g., Procore, Sage/Timberline, or similar)
- Ensure confidentiality and accuracy of all company and project records
Qualifications:
- 2 years of administrative experience, preferably in construction or a related industry
- Familiarity with contract documents, subcontracts, and construction terminology preferred
- Basic knowledge of accounts payable processes
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with construction software (Procore, Sage/Timberline, or similar) is a plus
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication skills and professional phone etiquette
- High attention to detail and accuracy

- Standard business hours with occasional flexibility based on project needs
Pay: $19.00 - $29.00 per hour
