Essential Duties & Key Responsibilities
- Assist with Obtaining Records Requests (ORRs) and ensure all necessary documents are collected and certified.
- Obtain any certified bills or records that are missing certifications.
- Communicate with courts to gather necessary information.
- Obtain certified dispositions and maintain accurate records.
- Support trial preparation, including organizing documents, exhibits, and related materials.
- Assist in closing out litigation matters once resolved, including:
Coordinating with clients as needed.
Circulating stipulations to dismiss to opposing counsel.
Monitoring check deposits and confirming final payments.
Ensuring all healthcare liens (HI liens) and charges are correct and properly recorded.
- Prepare and mail court filings, client correspondence, and other documentation as needed.
- Follow up on payments, e-filing legal correspondence, and calendaring.
- Maintain accurate and organized records of all litigation activities.
- Serve as a backup for the Administrative Assistant
- Perform additional administrative duties as needed to support the litigation team.
- Minimum of (1) year of personal injury law firm and litigation experience REQUIRED.
- Strong organizational and multitasking abilities with a keen eye for detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workplace, and legal case management software.
- Ability to handle sensitive information with confidentiality and discretion.
- Self-motivated, proactive, and able to work both independently and collaboratively.
- Familiarity with court procedures, records requests, and lien management.
- Experience communicating with courts and clients in a professional capacity.
- Knowledge of trial preparation processes and settlement procedures.
- Self-starter with strong initiative
