The Staff Pad is partnering with a leading organization in fine art logistics to hire a Client Services Coordinator. This role is perfect for someone who is highly organized, detail-oriented, and enjoys working in a fast-paced, client-focused environment.
You’ll serve as a key point of coordination between clients, account managers, and operations—helping ensure projects run smoothly from initial quote through final billing.
What You’ll Do
- Manage smaller projects end-to-end (from quote to billing), with support on larger projects
- Coordinate logistics for collections, deliveries, packing, and shipments
- Work closely with internal teams to ensure timelines and client expectations are met
- Support Account Managers with:
- Client file setup
- Purchase orders
- Data entry and job tracking
- Bills of lading and invoicing
- Client file setup
- Handle client communications via phone and email in a professional, timely manner
- Coordinate small parcel shipments (including interstate/air shipments)
- Maintain accurate documentation and ensure all records are up to date
- Assist leadership (General Manager, VP, Director) with administrative and operational needs
What We’re Looking For
Required:
- Bachelor’s degree (Business Administration, Art, or related field preferred)
- 3–5 years of experience in logistics, warehousing, or client services
- Strong organizational and time management skills with the ability to multitask
- Excellent written and verbal communication skills
- High attention to detail, especially with documentation and data entry
- Proficiency in Microsoft Office (experience with logistics or inventory systems is a plus)
- Strong problem-solving skills and ability to work in a fast-paced environment
- Professional, client-facing demeanor
Preferred:
- Experience in fine art, interior design, or art handling environments
- Familiarity with systems such as Moveware or Studio (or similar platforms)
