Administrative Support Specialist
Duration: 12 months

Compensation: $45/Hour
About the role
The Sage Group’s client is searching for an Administrative Support Specialist. This team drives employee experience, internal events, learning programs and strategic communications across the organization. We're looking for a highly organized Administrative Support Specialist to own the operational and logistical backbone of the team — freeing our practitioners to focus on high-impact, strategic work.
Responsibilities:
- Event coordination & logistics: Coordinate end-to-end logistics for team events. Manage back-end creation, invitations, RSVPs, and on-site or virtual setup to ensure seamless execution
- Ordering & vendor management: Process team orders including supplies, swag, catering, and promotional materials
- Budget management & tracking: Own the team's operational budget, tracking purchase orders, invoices, expenses, and provide regular spend visibility to team leaders
- Internal tools & platforms: Serve as a day-to-day operator of internal tools used for event management, communications publishing, and employee engagement. Support teammates in using these platforms effectively and help identify opportunities to streamline workflows
- Calendar & scheduling: Manage team calendars, meeting coordination, and scheduling across stakeholders. Maintain a master team calendar of events and key communications moments
- General team support: Provide administrative support to team leadership including meeting prep, note-taking, status tracking, and ad hoc project coordination. Proactively identify and eliminate manual, repetitive work to help the team operate more efficiently
Qualifications:
- 2 years of experience in an administrative, coordinator, or operations role, ideally in a fast-paced corporate environment
- Strong organizational skills with a track record of managing multiple workstreams and priorities simultaneously
- Experience with budget tracking, purchase orders, or expense reconciliation
- Comfortable learning and navigating internal tools and platforms quickly
- Excellent attention to detail, proactive communication, and a service-oriented mindset
- Experience with event or project management tools (Quip, Wrike, Box, etc.)
