Our client is seeking a mid-level Workforce Systems & Payroll Specialist to own the full scope of payroll administration, benefits billing reconciliation, and 401(k) plan operations. This is a critical role for a professional who is equally comfortable navigating complex software systems, managing detailed spreadsheets, and collaborating with Finance and HR leadership.
The immediate priority for this role is leading the operational migration of payroll data from Paylocity to Paychex for a newly acquired location. Following the transition, you will serve as the organization’s Paychex Subject Matter Expert, overseeing full-cycle multi-state payroll, benefits reconciliation, and 401(k) operations.
This is an onsite position, located in Fairless Hills, PA or Langhorne, PA.
Key Responsibilities
- Payroll & Systems: Execute full-cycle payroll in Paychex; lead the Paylocity-to-Paychex migration, including data mapping and SOP documentation.
- Benefits & 401(k): Reconcile monthly carrier invoices against deductions and manage 401(k) contribution funding and recordkeeper uploads.
- Data & Reporting: Build recurring workforce reports (headcount, labor costs, overtime) and maintain high data integrity across all platforms.
Required Qualifications (Non-Negotiable)
- 3–5 years of multi-state/multi-location payroll processing experience.
- Hands-on proficiency with Paychex required.
- Migration Experience: Proven history of managing at least one payroll system conversion or acquisition integration.
- Advanced Excel: Expertise in VLOOKUP/XLOOKUP, Pivot Tables, and data validation.
- Technical Breadth: Experience with benefits billing reconciliation and 401(k) plan administration.
